Job Summary

Job Summary: As the Executive Personal Assistant, you will be responsible for providing comprehensive secretarial support and managing administrative functions for the CEO. Your role will involve coordinating travel arrangements, drafting correspondence, preparing reports, and ensuring the smooth operation of the executive office.

Responsibilities:

  • Manage the CEO`s calendar, scheduling appointments, meetings, and travel arrangements.
  • Managing office protocol for government ministers, business executives and delegations
  • Prepare and organize documents, presentations, and reports for the CEO.
  • Handle incoming calls, emails, and correspondence, and prioritize messages accordingly.
  • Take minutes during meetings and distribute them to relevant stakeholders.
  • Coordinate and manage travel arrangements, including flights, accommodations, and itineraries.
  • Assist in the preparation and compilation of board packs and other important documents.
  • Conduct research and gather information as required by the CEO.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Perform general administrative tasks and support ad-hoc projects as assigned.

Requirements:

  • Previous experience as an Executive Personal Assistant or in a similar role at the executive level.
  • Excellent fluency in both French and English, with strong written and verbal communication skills.
  • Proficiency in using standard office software and tools, including Microsoft Office Suite.
  • Strong organizational skills and attention to detail.
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • High level of professionalism and discretion when handling confidential information – complete confidentially is an absolute requirement.
  • Exceptional interpersonal skills and the ability to interact effectively with stakeholders at all levels.
  • Proactive and self-motivated with the ability to work independently and take initiative.
  • Knowledge of the hospitality industry is an advantage.
