Job Summary
The reservations manager is responsible for overseeing and managing the reservations systems and processes for the company, ensuring that guests can easily make reservations, maintains accurate records, and coordinating with other department to ensure the guest experience runs smoothly.
Minimum Experience and Qualification Required:
Tertiary level qualification preferably in Hospitality Management or similar
Minimum 7 years of experience of which at least 2 to 3 years in similar role, in a five-star property advantage.
Strong Operational/Technical Knowledge.
Key Performance Objectives:
- Oversee the daily operations of the reservations department, ensuring efficient and accurate booking processes.
- Maintain an efficient administration system within the department
- Assist with accurately maintaining guest database to ensure effective mailings & correct guest history.
- Take accountability for the performance of the reservations functions for all three properties.
- Manage a team of reservation agents, providing guidance, training, and support.
- Ensure an efficient and accurate reservation system.
- Manage the reservation systems and ensure proper input, updates, and accurate reporting.
- Handle guest queries and resolve booking issues.
- Develop and implement strategies to optimize occupancy rates and revenue.
- Assist the Group Revenue Manager with generation of departmental reports as well as day-to-day activities
- Monitor reservation trends and generate reports for management.
- Work closely with internal and external departments to ensure a seamless guest experience.
- Communicate promotions, special offer, packages and client booking incentives externally and internally to all relevant team members.
- Stay updated on industry trends and best practices to improve processes

Key Responsibilities:
Manage and oversee the hotels reservations team to ensure smooth and efficient booking processes.
Develop and implement strategies to maximize room occupancy and revenue.
Monitor and manage room availability and pricing strategies in coordination with the revenue management team.
Handle guest inquiries and special requests professionally and efficiently.
Maintain relationships with travel agencies, corporate clients, and online booking platforms.
Ensure all reservations are accurately recorded in the hotels system.
Analyse reservation trends and generate reports for management.
Train and mentor reservations staff to ensure high levels of customer service and efficiency.
Address and resolve guest complaints and booking discrepancies.
Stay updated with industry trends and competitor pricing strategies.
Education & Experience:
- Bachelors degree in Hospitality Management, Business Administration, or a related field preferred.
- Minimum of 3-5 years of experience in hotel reservations or front office operations, with at least 2 years in a managerial role.
- Experience with hotel property management systems (PMS) and booking software (Opera, Fidelio, etc.).
- Must have own reliable transport
- Preferably reside in the surrounding areas of Paarl
- Skills & Competencies:
Strong leadership and team management skills.
Excellent communication and interpersonal abilities.
Strong organizational and problem-solving skills.
Ability to analyse data and implement revenue-maximizing strategies.
Proficiency in Microsoft Office Suite and reservation systems.
Customer-focused mindset with a commitment to providing excellent service.
Ability to work in a fast-paced environment and handle multiple tasks effectively.
Office-based within the hotel, with interactions with guests and front office operations.
May require working on weekends, holidays, or extended hours depending on hotel occupancy and demand.
This role is crucial in ensuring the hotel’s booking operations are optimized, guest satisfaction is maintained, and revenue targets are met effectively.
