Job Title: Church Administrator

Location: St Peters Anglican Church, Tzaneen
Reports To: Rector
Employment Type: Part-Time (3 days per week, with potential for 4 days)

Summary

St Peters Anglican Church is seeking a competent, organised, and enthusiastic Part-Time Church Administrator to support the daily operations and ministry of the parish. This position plays a vital role in ensuring the smooth functioning of the church office, providing administrative, financial, and pastoral support to the Rector, parish staff, and congregation.

The position is for three days per week, with a possible additional fourth day serving as administrator for our pre-school, J Tots, which will be discussed during the interview process. There is also a possibility of subsidised fees at J Tots (to be discussed at interview).

Terms of Employment

  • Working Days: 3 days per week (with the possibility of a fourth day for J Tots administration).
  • Hours: To be allocated in agreement with the Rector.
  • Sunday Work: May include up to 0.5 day on a Sunday for church service administration or event coordination.
  • Probation Period: One (1) month.
  • Salary: R12,000 per month.
  • Background Checks: Required prior to appointment.
  • Leave: Statutory annual leave entitlement.
  • Potential Add-On: An additional days work as administrator for J Tots Pre-School (to be discussed at interview).

Position Overview

The Church Administrator serves as the central point of coordination for all parish administration, communication, and record-keeping. The role supports the Rector and church leadership in delivering the mission and ministry of St Peters Anglican Church by maintaining efficient office systems, managing correspondence, coordinating events, and ensuring professional, warm interaction with parishioners and the public.

This is a hands-on position requiring initiative, confidentiality, and an ability to manage multiple responsibilities in a faith-based environment.

Key Responsibilities

  1. General Administration
  • Oversee the day-to-day operation of the parish office, ensuring a welcoming and organised environment.
  • Manage telephone calls, emails, and correspondence; act as the first point of contact for church members and the public.
  • Maintain accurate church records, registers, and filing systems (both electronic and paper).
  • Provide administrative support to the Rector, Church Wardens, and Parish Council.
  • Coordinate baptisms, confirmations, weddings, funerals, and other church events.
  • Assist with the preparation and printing of weekly service sheets, pew leaflets, and church newsletters.
  • Attend and minute weekly staff meetings, ensuring effective follow-up on action points.
  • Manage other staff members as agreed with the Rector (such as cleaning, maintenance, or volunteer teams).
  1. Financial Administration
  • Perform basic bookkeeping and accounting tasks, including recording income, offerings, and payments.
  • Conduct banking and financial reconciliations in line with church policy.
  • Prepare simple financial summaries and assist in maintaining the Trial Balance.
  • Manage petty cash and assist the Rector and Church Wardens with financial recordkeeping and budget tracking.
  1. Clergy and Council Support
  • Maintain the Rectors diary, email correspondence, and meeting schedule, ensuring smooth coordination of appointments and commitments.
  • Prepare documentation and reports for Parish Council meetings, assisting with agendas and minutes.
  • Maintain effective communication with the Diocese and ensure compliance with diocesan administrative requirements.
  • Support preparation for annual parish reports and statutory documents.

  • Serve as liaison between the church, congregation, and broader community.
  • Keep the churchs social media pages and website up to date with upcoming services, news, and events.
  • Draft and distribute communications such as newsletters, notices, posters, and bulletins.
  • Promote parish events and encourage engagement through various communication channels.
  1. Facilities and Event Coordination
  • Assist in scheduling and coordinating church services, events, and hall bookings.
  • Maintain records of facility usage and coordinate with external groups using church premises.
  • Support logistical arrangements for baptisms, weddings, funerals, and other liturgical events.
  • Liaise with service providers, contractors, and maintenance staff as needed.

  • Resilient, adaptable, and confident when managing multiple tasks.
  • Personal values and faith alignment consistent with the ethos of St Peters Anglican Church.
  • Able to build strong, respectful working relationships with the Rector, Church Wardens, Parish Council, Diocese, and community members.

Skills and Experience

  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Experience with basic accounting and preparation of Trial Balance.
  • Strong organisational and administrative skills, with excellent attention to detail.
  • High level of written and verbal communication skills.
  • Experience managing social media platforms and website updates.
  • Strong interpersonal skills with the ability to deal tactfully and empathetically with parishioners and visitors.
  • Previous experience as a Personal Assistant, Office Manager, or Administrative Coordinator is advantageous.

Working Relationships

  • Internal: Rector, Church Wardens, Parish Council, parish staff, J Tots team, and congregation members.
  • External: Diocesan office, suppliers, community partners, and visitors.
