Minimum 1 year SETA systems experience. DUTIES & RESPONSIBILITIES The duties include the following: Liaise with KAM on new proposals. Receive all the new proposals from KAM. Allocate proposals/projects workflow to NQC Administrators. Supervise the SETA/QCTO learnership application process . Supervise all SETA learnership applications. Obtain SETA learnership approval before training commences. Ensure greenlights are issued to Campus and KAM. Provide training of SETA systems for NQC Administrators Obtain SETA login credentials for NQC Administrators. Ensure that the NQC Administrators obtain and keep track of SETA application templates i.e., application forms and workplace-based agreements, learner support document templates etc. Quality assurance Review and contribute towards improvement and updating of quality assurance processes for the learner registration and exiting process. Supervise the learner documents quality assurance process. Ensure learner documents meet the SETA/QCTO compliance standards before submission. Conduct quality assurance audits to measure the level of quality in the learner registration process. Review and approve the Rollout plans before learnership commences. Supervise the learner registration processes. Ensure that learners are registered as per SETA/QCTO registration process. Communicate and give feedback on rejections from SETA/QCTO. Ensure that proof of learner registrations (POR) are obtained from SETA/QCTO and saved on the drive. Tracking of POR. Resolves overdue POR with different SETA. Supervise the administration of learner termination and replacement Attend the termination and stop stipend meetings. Ensure that the terminated learners are submitted to SETA/QCTO Ensure the de-enrollment of terminated learners on the portal. Supervise SETA learnership agreement submissions. Supervise the quality assurance of learnership agreements. Ensure that the contract /enrollment submissions are done on time. Resolve Seta registration queries. Project Tracking, Monitoring and Evaluation Conduct campus audit and report on the findings. Tracking the project that due for 50% and 100% moderation Ensure final uploads received are recorded. Supervise learner achievements and exiting process. Ensure learner achievements are loaded on SETA system for exiting. Conduct QA on the LA numbers created on the Seta system to ensure that they match the assessment tracker. Request external moderation. Conduct external moderation. Follow up on external moderation reports. Upload signed external moderation reports. Supervise Learner Certificate Management Ensure the tracking of outstanding certificate with the Seta and constant follow ups are made. Ensure that certificate received from seta are quality assured, scanned, saved on the drive and are distributed to the relevant campuses within 3 weeks of receiving. Ensure that Signa certificates are created and saved on the drive within one month after receiving final uploads from the campus. Collaborate with the National Manager Quality (PD&ETQA) in the review and revision of ETQA compliance, governance, and process. Assist the National Manager Quality (PD&ETQA) with conducting internal ETQA campus audit. Identify ETQA compliance risk and make recommendations. Collaborate with the National Manager Quality (PD&ETQA) in the risk management strategy. Monitor the Corrective Action and report on progress. Review of the QMS and form part of the QMS committee. Staff Supervision: Interact, coach, recognize superior performance and address substandard performance of team members. Monitor staff performance and ensure productivity Maintain a working environment conducive to productivity, employee wellbeing and retention. Ensure the correct disciplines and teamwork are in place.
