Job Summary:
Sagen Advisory Recruitment Company seeks an organized and detail-oriented Administrative Assistant/Personal Assistant to support our accounting firm client based in Bellville, Cape Town.
You’ll handle various administrative tasks and assist with accounting- and law-related duties.
Although a background in accounting, or law is not required, it is an advantage, and training will be provided for the position. This role requires a highly organized, detail-oriented individual with excellent communication and interpersonal skills.
Key Responsibilities:
Administrative Support:
- Manage calendars, schedule appointments, and coordinate meetings.
- Prepare and organize travel arrangements, including flights, accommodations, and itineraries.
- Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
- Maintain and update electronic filing systems.
- Provide general office support, such as photocopying, scanning, and faxing.
Bookkeeping/Accounting Support:
- Assist with data entry and maintenance of financial records.
- Prepare and reconcile bank statements.
- Process invoices and payments.
- Assist with budget preparation and tracking.
- Provide support for audits and financial reviews.
Legal Support (if applicable):
- Assist with legal document preparation and filing.
- Conduct legal research and analysis.
- Manage legal databases and case files.
- Coordinate with external legal counsel.
Project Management:
- Assist with project planning, coordination, and tracking.
- Prepare project reports and presentations.
Qualifications:
- High school diploma or equivalent required.
- Administration diploma or Bachelor’s degree is preferred but not required.
- Minimum 5 years of experience as an administrative assistant or personal assistant.
- Proven experience in bookkeeping, accounting, or law is not required but will be an advantage.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to work independently and as part of a team.
- Attention to detail and accuracy.
- Strong ethical and professional standards.
Preferred Qualifications:
- Administration or personal assistance experience minimum 5 years.
- Highly detailed, skilled in time management, and can work under pressure.
- Experience working in an accounting or law environment.
- Knowledge of Greatsoft and e-filing.
- Bilingual language skills.
