Job Summary

Are you a natural multitasker with a flair for organizing memorable events and keeping operations running like clockwork? Our client, a dynamic business based in Woodstock, is looking for a proactive, detail-obsessed Events & Administrative Assistant to be the driving force behind their event coordination, marketing efforts, and client engagement.

Youll be involved in everything from curating small-scale events and developing outreach campaigns, to managing databases and supporting day-to-day office functions. If youre confident on the phone, love a good spreadsheet, and thrive in a fast-paced, creative environment we want to hear from you.

What Youll Be Doing:

Marketing and Cold Calling:

  • Assist in developing marketing strategies to promote events and attract attendees.
  • Conduct cold calls and outreach to potential event participants, sponsors, and partners.
  • Collaborate with the marketing team to create compelling content and promotional materials.

Dealing with Smaller Events:

  • Manage the planning and coordination of smaller-scale events, including workshops, seminars, and networking sessions.
  • Handle event logistics, including venue selection, catering, equipment setup, and attendee registration.

Database Management:

  • Maintain an organized and up-to-date database of event participants, clients, sponsors, and partners.
  • Ensure accurate record-keeping for future reference and analysis.

Administration:

  • Provide administrative support to the events team, including scheduling meetings, managing calendars, and handling correspondence.
  • Prepare and distribute event-related documents, such as agendas, itineraries, and post-event reports.

Business Development:

  • Assist in identifying and pursuing new business opportunities and potential partnerships.
  • Research industry trends and competitor activities to contribute to strategic planning.

Client Management and Liaison:

  • Build and maintain positive relationships with clients, sponsors, and partners.
  • Act as a primary point of contact for event-related inquiries and ensure exceptional customer service.

What Were Looking For:

  • Previous experience in event coordination and admin (marketing/cold calling experience = bonus!)

  • Exceptional communication skills written, verbal, and everything in between

  • A sharp eye for detail and ninja-like organizational skills

  • Able to juggle tasks, solve problems, and adapt quickly when plans change

  • Comfortable using Microsoft Office, event tools, and database systems

  • Willing to work the occasional evening/weekend event

  • A team player with energy, ideas, and a get-it-done attitude

  • A qualification in events, hospitality, marketing, or admin is a plus but not essential
