We are looking for a highly organized and proactive Workshop Coordinator to support our Workshop Manager, Workshop Foreman, and Stores team by ensuring seamless workshop operations through effective job card management, administrative control, and customer service.
Key Responsibilities

• Generate, manage, and track job cards for all repairs and maintenance work in the workshop.
• Coordinate between the Workshop Manager, Workshop Foreman, and Stores Department to ensure smooth workflow and timely completion of jobs.
• Capture timesheets for workshop staff, including welding, engineering, and apprentice teams.
• Perform job costing and prepare client quotes.
• Complete final job costing and invoice clients, ensuring that order numbers are correctly allocated.
• Oversee warranty jobs, including obtaining reports, repair quotes, and monitoring associated costs.
• Handle customer queries related to workshop operations and repairs.
• Draft professional correspondence and letters as required by management.
• Issue picking slips for stores and liaise with stores for parts requisition.
• Process supplier invoices and credit notes accurately and efficiently.
• Ensure all administrative functions related to workshop management are executed promptly and precisely.

Requirements

• Proficiency in Sage Evolution is non-negotiable.
• Strong administrative and organizational skills, with the ability to multitask and prioritize effectively.
• Excellent command of Microsoft Office, particularly Excel.
• Matric with Accounting and Pure Mathematics as key subjects.
• Bilingual – Fluent in Afrikaans and English (spoken and written).
• A cheerful, proactive attitude with a great sense of humor.
• Ability to work well under pressure in a fast-paced environment.
