Job Summary
Position Overview:
- We are seeking a detail-oriented, and analytical Data and Reporting Specialist to join our team.
- The ideal candidate will require expertise in advanced Excel functionalities and a strong understanding of data analysis, report generation, and data management processes.
- This role involves interpreting complex data, creating actionable reports, and providing insights to drive business decisions.
- The candidate will need to work in a high-pressurized environment and chronological and organized manner to drive outcomes and be able to seamlessly adapt to changes in the working environment.
The suitable candidate’s main responsibilities and duties include, but are not limited to, the following:
- Data Analysis & Reporting: Collect, analyse, and interpret large datasets to generate meaningful reports. Identify trends, patterns, and areas of improvement.
- Advanced Excel Usage: Utilize advanced Excel functions (such as Power Query, VBA, pivot tables, Power Pivot, and data visualization tools) to automate, clean, and organize data for reporting needs.
- Report Creation & Management: Develop and maintain standardized and ad-hoc reports, dashboards, and visualizations to support various departments within the organization.
- Data Quality Assurance: Conduct quality checks to ensure the accuracy and integrity of data used in reporting. Identify inconsistencies and correct them as needed.
- Business Insights: Translate data findings into actionable insights and recommendations, presenting them in clear, concise reports for stakeholders.
- Cross-functional Collaboration: Work closely with the BI team, finance, investigations and other teams to understand data needs and support business strategies.
- Process Optimization: Continuously evaluate and improve data reporting processes, suggesting automation and workflow improvements where possible.
The daily responsibilities of a Data and Reporting Specialist with advanced Excel skills typically involve a mix of data management, reporting, and cross-functional communication. Here’s a breakdown of daily tasks they might handle:
- Data Collection & Preparation
- Gather data from multiple sources, including databases, spreadsheets, and external systems.
- Use Excel’s Power Query and other advanced functionalities to clean, structure, and prepare data for analysis.
- Data Analysis
- Analyze data to identify patterns, trends, and anomalies.
- Apply formulas, create pivot tables, and perform calculations to support analysis needs.
- Report Generation
- Create, update, and distribute daily, weekly, or monthly reports as required by the team or stakeholders.
- Dashboard Maintenance
- Maintain and update data dashboards that offer at-a-glance insights for teams and decision-makers.
- Use Excel’s charting tools or connect to visualization tools like Power BI to enhance visual reporting
- Quality Assurance & Data Validation
- Conduct regular data checks to ensure data accuracy and reliability.
- Review and address any inconsistencies or errors that could impact the integrity of the reports.
- Cross-functional Communication
- Liaise with other departments (e.g. finance, investigations, ops) to understand their data needs and gather feedback on reporting improvements.
- Participate in team meetings to discuss data-driven insights, reporting schedules, and upcoming requirements.
- Problem-Solving & Troubleshooting
- Identify issues in data workflows and troubleshoot Excel or data processing errors.
- Proactively suggest process improvements to streamline reporting and analysis tasks.
- Documentation
- Document reporting procedures and maintain records of data sources, processes, and any automated scripts for consistency and transparency.
- Update process manuals as reporting needs evolve.
- Continuous Learning & Improvement
- Stay updated on new Excel features, data analysis tools, and reporting best practices.
- Explore opportunities for automation or optimization within existing data workflows.
These tasks are foundational to ensure accurate, timely, and insightful reporting that aids the decision-making process across the organization.
Preferred qualifications/attributes/skills:
- Grade 12 or equivalent qualification;.
- Minimum one years’ experience in data capturing.
- Advanced typing skills .
- Attention to detail.
- Excellent written, verbal communication skills (fully bilingual).
- Dependable, work independently, meticulous and precise (number accuracy is imperative).
- Advanced Excel skills are essential, including experience with complex formulas, pivot tables, and Power Query.
- Familiarity with data visualization tools such as Power BI or Qlik is a plus.
- Advances PowerPoint skills to create reports and presentations with visualizations as and when required.
- Advanced Word skills to create reports and review documents as and when required.
- Google Earth skills to plot and create polygons and KMZ files.
- Strong analytical skills with a detail-oriented approach and ability to interpret large datasets.
- Effective communication skills, able to present data insights in a clear and understandable manner.
- Ability to work under pressure and meet targets.
- Required to work overtime from time to time.
- Clean disciplinary, criminal and credit record.
- Candidates will undergo polygraph and background checks.
- Own transport.
