Job Description

Receptionist Answering Switchboard Receiving visitors into the office (Showing to Boardroom for meetings) and offering refreshments Collection of mail from time to time and distribution to the relevant person in the office Maintaining and purchasing office stationery and kitchen supplies Load dishwasher just before 5pm switch it on, and unpack in the morning Keep abreast of all staff birthdays, and arrange cards and gift voucher Updating of Birthday and Anniversary list from time to time Obtaining quotes for office equipment and furniture for approval by Director’s from time to time IT liaison communicating between staff and IT Company regarding weekly site visits, ordering required hardware Coordinating and communicating with domestic workers regarding duties, checklists, and timekeeping Annual servicing of office fire equipment Office Coordinator Monthly Petty Cash Control and Reconciliation Co-ordinate all travel bookings and arrangements for all Cape Town staff, including flights, online check-ins, accommodation, car rental bookings, itineraries, and when necessary arranging overseas forex for the relevant traveler Arranging all office functions Mid-year conference, Year-end, Staff 10-year work anniversaries, baby showers) Keeping track of company cellphone accounts and liaising with management regarding upgrades and monthly bills Keeping track of vehicle licensing of all company vehicles and ensuring all licenses are renewed within the time frame Ensuring all traffic fines in company vehicles are distributed to the relevant staff member Expense sheets for Sales Team Maintain a Travel spreadsheet of all travel done by all employees Ensuring all travel expenses are added to the relevant Project Profitability Costing as well as a copy of the expense is added to the project file for record-keeping Month-End Credit Card reconciliation against travel bookings booked on credit cards Assisting with sourcing promotional gifts for the end of the year such as customer and supplier gifts, marketing calendars, and wine orders for principals) Source products/items for Year-End Staff Gift Hampers Keeping up to date & arranging medical appointments for technicians and site staff Assistance with health and safety admin from time to time Minimum Requirements Presentable, hardworking, organised individual with good communication skills Fluent in English with good pronunciation (most of our foreign suppliers communicate in English) Must be able to communicate in Afrikaans (many of our customers communicate in Afrikaans) Must have a valid drivers licence Computer literacy in MS Office (Word, Excel, Powerpoint), Microsoft Outlook, and Internet Explorer Ability to work alone and as part of a team, and accept directives from various members of the management team Reliable, on time, and a good communicator Kindly note that by submitting your application for this career opportunity you agree that Guardian Recruiting may use your application for the purpose of the recruitment and selection of the said position and this information may be shared with the relevant stakeholders in the business.
