Company and Job Description:
My client is seeking an experienced and detail-oriented Senior Payroll Administrator to join their dynamic team. The ideal candidate will have 5+ years of payroll experience and preferably an I.T. background, with a strong understanding of payroll systems, compliance, and reconciliation processes.

The Senior Payroll Administrator will be responsible for managing both Salaried and Wage Payrolls (Onshore & Offshore), ensuring accuracy, compliance, and efficiency across all payroll functions.

Key Responsibilities:
Salary Payroll:

  • Populate and maintain monthly salary amendment spreadsheets (new hires, terminations, benefits, deductions, etc.).
  • Reconcile third-party payment statements with deduction reports on VIP.
  • Maintain provident fund history and VIP payroll reporting monthly.
  • Assist with third-party payment schedules and payroll reconciliations.
  • Complete UI19 forms and handle payroll queries efficiently.

Wages Payroll:

  • Add and maintain employee information on VIP.
  • Process weekly, bi-weekly, and monthly wage payrolls (Onshore & Offshore).
  • Import hours, allowances, and shifts; capture additional earnings and deductions.
  • Ensure timely release of payroll and related third-party payments.
  • Generate reports (weekly, month-end, tax year-end, and audit) and distribute to branches.
  • Perform monthly reconciliations with external entities (e.g. Alexander Forbes, MEIBC, SEIFSA, Sanlam, NUMSA).

Payroll & HR Support:

  • Prepare and reconcile EMP201s; assist with EMP501 submissions.
  • Support reporting for Employment Equity, Skills, SEST, and STATSA.
  • Provide HR-related administrative support and respond to payroll queries.

General & Compliance:

  • Ensure accurate and timely payroll processing and record keeping in VIP.
  • Stay informed of tax and labour law changes to ensure compliance.
  • Generate and analyse payroll reports for management and audits.
  • Collaborate with Finance, HR, and Divisional Administrators to resolve payroll discrepancies and improve processes.
  • Support system upgrades, process documentation, and team collaboration during peak periods.

Job Experience and Skills Required:
BCom or equivalent qualification
Minimum 5 years of payroll experience (on VIP or similar system)
Strong Excel and reporting skills
Knowledge of payroll legislation and compliance requirements
Excellent communication, analytical, and problem-solving abilities
I.T. knowledge or experience advantageous

Are you an experienced Payroll Professional with a passion for precision, compliance, and supporting people? My client is seeking a highly skilled Senior Payroll Administrator to join their dynamic Head Office team. This is a high-impact role that supports various branches and plays a crucial part in delivering smooth HR and payroll operations across the organisation.

Key Responsibilities:

  • Managing monthly salary amendments, including new hires, terminations, fringe benefits, allowances, deductions, and other monthly changes.
  • Maintaining accurate employee records on the VIP payroll system.
  • Verifying employee banking details and importing wage hours/shift files from the time & attendance system.
  • Processing weekly, bi-weekly, and monthly payrolls for the organisation.
  • Ensuring payroll submissions, approvals, and deadlines are met consistently.
  • Preparing and distributing payroll reports and payslips to branches.
  • Resolving payroll-related queries promptly and professionally.
  • Updating Employment Equity and Industrial Council information weekly.
  • Performing monthly third-party reconciliations and assisting with EMP201 and EMP501 submissions.
  • Processing provident fund withdrawals, UI19s, and salary schedules.
  • Supporting HR and Accounts departments with documentation, reporting, and administrative tasks.
  • Maintaining payroll procedures, including onboarding/offboarding processes.
  • Assisting with audits, payroll-related projects, system improvements, and process standardisation.
  • Administering HR queries relating to provident funds and IOD claims.
  • Providing payroll-related reports as required by senior management.

Job Experience and Skills Required:
Completed Bcom or Diploma in Finance
3 – 5 years’ experience in a similar position
SAGE 300 PEOPLE would be beneficial
