Job Summary

- Qualification in Supply Chain and/or Sales administration advantageous
Requirements
- More than 5 years’ experience in Commercial/Sales Administration position
- Experience in mining industry advantageous
- Must be immediately available
Duties
- This position reports to the director of GMS, there will also be additional general admin assistant duties including all commercial admin for GMS.
- Strong customer service and strong organisational skills.
- Coordinating the sales process from order placement, acknowledgement, invoicing, GRN & dispatch – including proper saving of internal supporting documents
- Updating enquiry/sales register
- Expediting customer orders and providing feedback to customers timeously
- Ensure, at best of ability, that promised delivery dates to customers are kept
- Responding to customer enquiries timeously and professionally
- Building good relationships with customers
- Apply preferential procurement rules to suppliers on database and update BBBEE status once every quarter and ensure updated certificates of suppliers are saved in folders and always updated on spreadsheet
- Purchasing customer orders on daily basis
- Do price comparisons between suppliers to ensure best quality product at competitive price is purchased
- Ordering and maintaining of stationary and other supplies for organization
- Purchasing from suppliers for tenders and projects related work
- Expedite purchase orders to manufacturing department to ensure raw materials and parts are delivered in time to meet manufacturing deadlines
- Verification of supplier invoices and investigation of any price discrepancies
- Measure supplier delivery performance
- Prepare and submit quotations for spares and/or repairs to machines against client’s enquiry
- Ensure correct capturing of information on the purchasing system
- Arrange transport for delivery of goods to customers
- Assist with inventory controls
- Assist with stock counts and reconciliations
- General administration associated with the purchasing and commercial functions of organization
- Responsible for control of debtors age analysis
