About the Role

The Service Charge Reconciliation Analyst role at Jai Search Consultancy involves reviewing and validating service charge reconciliation invoices to ensure compliance with lease agreements, legal requirements, and internal policies. As a key member of our team, you will be responsible for conducting detailed financial checks, data analysis, communication with stakeholders, and accurate reporting to ensure the integrity and accuracy of real estate cost recoveries.

Key Responsibilities

  • Review and verify monthly invoices and annual operating expense reconciliations against lease terms, budgets, prior year bills, and legal documents.
  • Perform detailed audits of service charge reconciliations for high-priority properties (e.g., those exceeding 100k annually) and for leases with discrepancies greater than 10% or 10k.
  • Conduct full reconciliations for priority locations using a checklist covering totals, prepayments, expense line-by-line comparisons, apportionments, and variances.
  • Validate mathematical accuracy of service charge invoices and supporting backup documentation; request clarification or correction from landlords as needed.
  • Initiate and manage objection letters for disputed charges and track resolution in Salesforce.
  • Use Sequentra and Salesforce systems to document and track invoice processing, validations, and communications.
  • Follow the four-eye principle: complete initial checks and forward reconciliations for second-level validation and approval.
  • Update financial systems with final approved charges and initiate conditional payments when required.
  • Assist in the preparation of monthly and quarterly reports detailing reconciliation statuses, cost savings, and compliance metrics.

Requirements

  • Bachelor’s degree in Finance, Accounting, Business Administration, or related field.
  • Minimum 2 years of experience in accounts payable, lease administration, or real estate finance.
  • Strong understanding of lease terms, operating expenses, and service charge structures.
  • Excellent analytical skills and attention to detail, particularly with financial data.
  • Strong written and verbal communication skills for professional correspondence and reporting.
  • Proficiency in Microsoft Excel; experience with Salesforce, or similar systems is a plus.
