About the Role

Objective Personnel is seeking a highly organized and detail-oriented Service Administrator to join our team in Kempton Park. As a key member of our administration team, you will be responsible for ensuring seamless day-to-day operations, managing customer relationships, and providing excellent administrative support. You will have the opportunity to work with various systems, including Syspro, and contribute to the success of our company.

Key Responsibilities

  • Scanning, uploading & sending supply-only invoices to customers
  • Cross referencing M-files to previous day’s sales profitability report (invoicing up to date)
  • Daily invoicing target/stats (graph)
  • Answering call centre phone
  • Logging service calls
  • Completing and closing completed jobs – M-files
  • Correcting WIP reports – adding KMS’s
  • Daily invoicing (All departments)
  • Administer to relevant recipients
  • Upload to M-files
  • Close job
  • Customer costings
  • Internal costings
  • Credit notes
  • Uploading Credit notes to M-files
  • Car Rental
  • First Car portal
  • Updating Ariba
  • Invoicing Portal
  • Review daily completed Sheets
  • Weekly Sales report
  • Sales Profitability Report
  • Tending to queries (Internal & external)
  • Costing queries
  • Invoice queries
  • Following up on outstanding Purchase Orders
  • Updating Contract Sheets
  • Maintenance Contracts (Hours used and availability)
  • Service contract customers (Checklist Service conducted)
  • Filing
  • Ad-hoc duties as requested by management

Requirements

  • Minimum of 4 years’ experience in similar role
  • Syspro knowledge would be an advantage
  • Admin knowledge
