Brooklyn Litigation Typist Appointment: Permanent, full-time position Salary: R18 000 – R 20 0000 Working hours: Monday – Friday, 08:00 to 16:30 Qualification: Matric or equivalent Requirements: 1-3 years Litigation Typist experience in the legal field 1. Typing and Document Production: Transcribe dictation (audio and/or digital) from attorneys, including correspondence, memoranda, legal briefs, pleadings, affidavits, witness statements, and legal opinions. Copy-type and format a wide variety of legal documents, ensuring all adhere to professional standards, firm styles, and specific court rules (e.g., formatting, margins, font size). Draft and Edit: Assist with the drafting and preparation of routine legal forms, notices, and correspondence (e.g., demand letters, payment arrangements, court notices). Proofreading: Thoroughly proofread all transcribed and prepared documents for accuracy, grammar, spelling, punctuation, and proper legal terminology before presentation or filing. Document Management: Convert, manipulate, and manage document formats (e.g., Word to PDF, comparing versions/redlining). Confidentiality: Maintain strict confidentiality of all sensitive client and legal information. 2. Litigation and Court Support: Filing and Service: Prepare documents for filing with various courts (State, Federal, Appellate) and ensure proper service on opposing counsel, including preparing supporting documents like proofs of service. E-Filing: Manage and execute electronic filing (eFiling) of pleadings and other court documents in compliance with specific court electronic systems and rules. Trial Preparation: Assist in the preparation of trial and hearing binders, organizing and preparing exhibits, and collating documents for discovery requests and responses. 3. Administrative and Case Management Support: Records Maintenance: Maintain and organize both physical and electronic case files, ensuring all documents, correspondence, and records are accurately filed and easily retrievable. Diary/Calendar Management: Maintain accurate records of legal proceedings and legal diaries ; monitor and manage deadlines for court filings, statutory requirements, and case actions. Communication: Handle and triage incoming and outgoing correspondence, emails, and phone calls professionally, often acting as a liaison between attorneys, clients, court personnel, and third parties (e.g., sheriffs, debtors). General Administration: Perform other general administrative tasks as required, such as scheduling meetings, appointments, and depositions; photocopying, scanning, and faxing; and processing mail and courier forms. Required Skills and Competencies Typing Speed & Accuracy: Excellent typing skills with a high degree of accuracy and a minimum speed of 45 to 60 words per minute (WPM) . Technical Proficiency: Advanced proficiency in the Microsoft Office Suite (especially Word, Excel, and Outlook), including experience with styles, macros, and advanced document formatting. Legal Knowledge: Working knowledge of legal terminology, legal documents (e.g., pleadings, motions, affidavits), and basic litigation procedures. Familiarity with specific court rules is a strong advantage. Transcription: Proven ability to accurately transcribe complex dictation from audio files/dictating machines. Attention to Detail: Exceptional attention to detail for proofreading and ensuring compliance with court rules and formatting requirements. Organizational Skills: Strong organizational and time management skills with the ability to manage multiple priorities and meet tight deadlines under pressure. Qualifications and Experience Minimum Requirements: High School Diploma or equivalent (Grade 12 / Matric Certificate). Proven experience in typing and clerical work, with a strong preference for experience in a legal, collections, or administrative environment. Preferred/Advantageous: A formal Secretarial, Legal Typing, or Administrative qualification/diploma. 1-3 years of experience as a typist or secretary within a litigation or debt collection practice area. Experience with e-filing systems (e.g., State or Federal eFiling portals). Familiarity with legal/collections software or document management systems (DMS). Working Environment Typically an office-based environment, often in a law firm or in-house legal department. The role may involve periods of high pressure, particularly when facing strict court deadlines. May require sitting for extended periods while operating a computer and transcribing dictation.
