Job Summary

Introduction A Leading Legal Firm in Arcadia is looking for a PA to assist the CEO. Duties & Responsibilities Executive Support & Communication Act as the primary point of contact between the CEO and internal/external stakeholders. Screen and prioritize phone calls, emails, and correspondence on behalf of the CEO. Draft and proofread legal and business correspondence with high accuracy and professionalism. Relay messages clearly and professionally with excellent written and verbal communication skills. Diary & Schedule Management Manage the CEO’s calendar, scheduling meetings, court appearances, and appointments efficiently. Ensure all deadlines, events, and commitments are logged and reminded in advance. Coordinate travel itineraries, accommodation, and transport for legal conferences or business trips. Document & File Management Take dictation and transcribe legal documents, reports, letters, and memoranda accurately. Maintain confidential files, records, and databases—both physical and digital. Format, proofread, and prepare legal documents and case files for court and client meetings. Meeting Preparation & Support Prepare agendas, take minutes, and follow up on action items from executive meetings. Ensure the CEO is well-prepared with case files, background documents, and briefing materials. Attend key meetings and draft concise summaries or decision logs when necessary. Office Administration & Coordination Liaise with clients, attorneys, courts, and government departments in a professional manner. Order office supplies and manage small budgets related to executive operations. Handle confidential information with discretion and adhere to legal office protocols. Professional Representation Represent the CEO professionally in all interactions—whether in person, telephonic, or written. Ensure professional standards are upheld in the CEO’s engagements and commitments. Maintain a poised and confident demeanor while working under pressure or tight deadlines. Desired Experience & Qualification Experience: At least 4 years’ experience as a PA, Legal Secretary, or Executive Assistant in a legal or professional services environment. Skills: Exceptional communication and interpersonal skills Outstanding organisational and time-management skills Strong dictation and transcription abilities High attention to detail and accuracy Proficient in MS Office (especially Word, Excel, Outlook) and legal document formatting Ability to work independently with discretion and confidentiality Professionalism: High level of integrity, initiative, and confidence in dealing with executives and legal professionals.

Job Summary

Minimum requirements: Minimum of 5 years experience as a Personal Assistant at executive level. Fluent in English with excellent verbal and written communication skills. Proficient in Microsoft Outlook and Sage/Pastel accounting systems. Must be comfortable with frequent travel (at least once a week to the farm). Non-smoker. Personality Traits: Highly organised, with the ability to work independently and multitask. Extremely well-groomed and presentable at all times, with no visible tattoos. Hands-on, proactive individual with a practical mindset and strong problem-solving skills. Confident, assertive, proactive, yet friendly and approachable. Emotionally resilient and self-assured. Duties and responsibilities: Personal Assistant Duties: Provide day-to-day administrative support to the business owner and management team. Manage calendars, schedule meetings, and coordinate appointments. Handle email and phone correspondence on behalf of the business. Maintain organised filing systems for documents, records, and reports. Prepare and proofread documents, reports, and communication material. Assist in travel planning and logistics where required. Maintain confidentiality and professionalism at all times. Sales and Marketing Support: Promote the farms hunting and accommodation services through targeted social media campaigns. Communicate with existing and prospective clients, sending annual reminders of the hunting season and availability. Prepare and send client quotations using Sage, and follow up on enquiries. Issue invoices and monitor client deposits and payments. Provide clients with necessary farm information, rules, and arrangements ahead of their visit. Coordinate with farm staff to ensure readiness for client arrivals. Attend to client groups on the farm as needed, particularly during busy hunting periods. Farm Operations and Management: Conduct animal counts and assist in livestock tracking. Oversee general farm functionality and ensure equipment and facilities are in working condition. Carry out vehicle inspections and arrange for servicing and maintenance. Compile order requests for farm supplies, equipment, and services; obtain approval and liaise with the finance department for payment. Monitor and reconcile petty cash expenses, ensuring all slips are accounted for. Assist with animal movement planning to support effective grazing and land use. Ensure the lodges are maintained and any maintenance issues are addressed promptly. Contribute to auction planning and coordination when applicable. Maintain ongoing communication with the farm management team, providing clear instructions and guidance on operational focus areas. Monitor electricity usage, perform Eskom meter readings, and report as required. Order feed, supplements, and supplies proactively to ensure timely availability.
