Job Summary

My client in a property company is looking for TENDER ADMINISTRATOR to join our team and will be reporting to our commercial director. MAIN DUTIES (to include but not limited to): PROPOSALS Lead the entire tender process, including pre-qualification, preparation, submission, and post-tender activities. Develop and maintain a detailed tender schedule, ensuring all deadlines are met. Respond to all requests for quotations (RFQ), private valuation requests, new business, etc. Identify and source new tenders daily on various tender sourcing platforms in both public and private sectors. Collaborate with the team to assist with the compilation of completed proposals Peruse through bid documents, prepare the bid and bind for submission, facilitate the delivery process Facilitate or attend tender briefings, whether online or in-person. Follow-up on RFQ and tender submissions to ascertain success or not, for lessons learnt if not successful Delivering accurate tender progress reports, which include obtaining opening registers and tender awards where applicable. Keeping records of tender/quotation briefing schedules and submission dates. Manage filing systems by ensuring that they are practised. Develop an efficient filing system to make updating and retrieving files easier. Arrange and coordinate strategic meetings between decision-makers Format and proofread tender documents for accuracy and completeness. Ensure that presentation and business proposal documentation are collated and presented in a professional manner Liaising with supply chain personnel with regard to tender queries Ensure professional client relationships and timely liaison with clients. Ensure that all company supporting documents are always updated and are included in the tender document. Ensure all tender compliance documents are in place. Ensure all company documents/details are up to date Maintain live and active tender register Provide accurate tender communication to management. Compilation of final bid documents and coordination of arrangements to deliver final documentation to the client within the defined tender deadlines in the correct format and on time. Ensure that all tender administrative tasks are completed comprehensively and on time. Other duties as assigned. Maintain resident and other office files while practising company-wide file retention policies. Store all paperwork in designated places securing the important documents. Enter paperwork into an electronic system by data entry or optical scanners. Where required. Follow policies and confidentiality dictations to safeguard data and information (POPIA) KEY COMPETENCIES & SKILLS: Impeccable communication skills both face-to-face and telephonically, including all written communication. Good Microsoft Office working knowledge. Strong attention to detail and organisational skills. Hard working, reliable and honest individual. Ability to work efficiently and thoroughly. Attention to detail and good listening skills. Confident and polite communication skills. Resilient and able to work under pressure. Present yourself in a clean, tidy and professional manner at all times. Must be willing to learn, take instruction and adapt to changing conditions as the business grows. Knowledge of Sage Accounting RECOMMENDED EDUCATIONAL BACKGROUND Attain a Formal Certificate or National Diploma in Business Administration, Procurement, Supply Chain Management or any related field for potential future institutional growth.
