Job Description

Be responsible for providing reservations and sales to the direct market both locally and internationally (excluding USA). Your will be responsible for providing an efficient and personalised reservations and sales service to the direct market and the trade for the company.

Key responsibilities:

• Responding to direct guest enquiries by providing a detailed and personalised booking service.
• Provide detailed responses (written or spoken) on product offering/product options/logistics/alternatives etc in order to sell the right product and convert the booking into a sale.
• Responding efficiently to all queries or concerns relating to bookings
• Providing availability and costs/quotes for bookings
• Making reservations using TourPlan
• Managing booking status throughout the reservation process
• Providing lodge information and relating documentation to clients where appropriate – WETU itineraries/pre-tour & departure information.
• Managing yield to ensure that we maximise occupancy and the rate achieved.
• Ensure that both deposits and full payments are received timeously so that we don`t lose revenue if a booking cancels.
• Check guest camp information relating to bookings and ensure that they are up to date, correct and sent to booking administrator three weeks out and that every booking contains contact telephone numbers of the guests plus nationalities and important personal information to ensure a memorable and personalised visit.
• Any late changes or new bookings within the 3-week period must be checked and sent to the booking administrator.
• For South African residents travelling outside of South Africa you need to obtain ID numbers and home addresses for all guests for SARB purposes – this record can be maintained in the email format.
• Providing product feedback to marketing and internal Product Managers to improve product, sales and yields.
• Aim to convert all sales and where a sale has cancelled or not confirmed provide details in the TP system so trends can be tracked.
• Follow up post their stay for repeat, VIP and large group guests to offer a personalised service.

Qualifications

• Senior certificate or equivalent
• Tertiary certificate in travel related field desirable

Skills

• Tourplan system – desirable.
• Local and international travel industry – essential.
• Botswana, Namibia, South Africa and surrounds product knowledge – camps, 3rd parties and logistics.
