About the Role
We are seeking a highly organized and efficient Receptionist / Office Administrator to join our team at the Head Office in the V&A Waterfront. As the first point of contact for visitors, you will be responsible for providing exceptional customer service and ensuring a smooth day-to-day operation of the office.
Key Responsibilities
- Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
- Answering screening and forwarding incoming phone calls as well as taking accurate messages and relaying
- Providing basic and accurate information in-person and via phone/email
- Ordering Office supplies and keeping inventory thereof
- Making tea and coffee for visitors
- Opening and receiving paperwork from stores and boxing / distributing thereof
- Maintaining office security by following safety procedures and controlling access (monitor logbook, issue visitor parking cards)
- Collecting; receiving and sorting daily mail and deliveries
- Requesting of all outstanding banking documentation for Debtors & Creditors
- Scanning and filing of all Petty Cash slips
- Completing of all paperwork & contracts as required by supervisor
- Updating of store and staff contact details workbook
- Scheduling of annual services and 3rd party contractors
- Ordering of printer ink and Logging calls for repairs
- Licensing of Company Vehicles
- Additional overflow of duties / establishing gaps as role grows
- Order and shop for management and staff meals
- Filing of POPs for creditors weekly and monthly payments
- Ensuring the storeroom and office paperwork is boxed and archived
- Completing printer readings workbook and recon on a monthly basis
- Request and compile printer readings on a monthly basis for all stores and offices
- Receiving of courier parcels and filing of waybills
- Arrange courier collections and distribute uniforms or spares received to correct stores
Requirements
- Grade 12
- At least 1+ years experience in an administrative or reception position
- A valid driver’s license will be an advantage (if applicable)
Qualifications
- Formal qualification will be an advantage
