About the Role
The Finance Administrator role at Optential Consulting is a critical support function that ensures the smooth operation of our financial functions. As a key member of our finance team, you will be responsible for managing financial records, processing transactions, and supporting the Financial Manager with various financial activities.
Key Responsibilities
- Provide administrative support to the Finance Manager as needed.
- Assist with other ad-hoc financial tasks and projects.
- Assist with preparing for Audits.
- Stationery procurement & water supply management.
- Maintain accurate and up-to-date financial records, including invoices, receipts, and financial statements.
- Ensure all financial data is entered correctly into the account software.
- Prepare monthly, quarterly, and annual financial reports.
- Support the Finance Manager in preparing financial statements and management reports.
- Creation of purchase orders and follow-up on invoices with the respective departments/suppliers.
- Follow-up on Tax invoice for all prepayments and everything paid using a proforma invoice or paid through a quote.
- Process accounts payable and accounts receivable transactions.
- Monitor and follow up on outstanding invoices and payments.
- Reconcile supplier statements and manage vendor relationships.
- Credit Cards accounts (4) – Processing and reconciling and following up on invoices from staff members that use the respective cards. Scanning and filing of the invoices and saving them onto the drive.
- Accounts Payables processing – Invoices & Credit notes and allocating to the correct expense accounts.
- Accounts Payable reconciliations.
- Checking on statutory compliance before processing invoices.
- Updating of the weekly payment batch and attaching supporting documents, Including approved staff “Statements Of Expense” requests.
- Emailing of POPs and remittances to suppliers weekly.
- Loading POPs onto a folder on Work drive.
- Loading all documents received from suppliers onto the online work drive.
- Processing payments and allocating to suppliers’ invoices, reconciling bank statement against our cashbook.
Requirements
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- Proven experience as a Financial Administrator or in a similar role.
- Proficiency in accounting software and Microsoft Office Suite (especially Excel).
- Strong understanding of financial principles and accounting practices.
