Job Description
Key Responsibilities:
- Front Desk Management: Greet, welcome, and direct visitors in a professional manner. Notify relevant personnel of visitor arrivals and maintain a well-organized reception area.
- Visitor Coordination: Receive, register, and guide visitors through the plant. Operate the plant intercom system and issue PPE and locker allocations as needed.
- Telecommunication Handling: Manage incoming phone calls, transfer calls, take messages, and handle faxes to ensure prompt and accurate communication.
- Mail & Courier Services: Receive and distribute letters, parcels, and publicity materials. Regularly check mailboxes and ensure timely internal delivery.
- Administrative Support: Perform general administrative tasks including filing, laminating, maintaining internal contact lists, and updating business cards and email signatures.
- Meeting & Hospitality Coordination: Arrange beverages and meals for external guests and staff from other branches.
- Refreshments Management: Monitor, distribute, and record staff refreshments and supplies.
- Health & Safety Compliance: Adhere to all health and safety practices, including COVID-19 protocols, and support the Health & Safety Department with related administrative tasks.
- Policy Adherence: Ensure compliance with company rules, regulations, and disciplinary procedures.
- Workflow Support: Maintain consistent office workflow and provide support to various departments as required.
- Ad-hoc Duties: Assist with other administrative or office-related tasks as needed, within the scope of the role.
Requirements:
- Matric or equivalent.
- Min 1-2 years’ experience in similar position
- Excellent in Microsoft office.
- Code 8 license
- Organisation skills.
- Read and write English
- Team Player
- Confident and proactive approach — anticipates issues and requirements.
