REQUIREMENTS:
- 3-5 years of experience in a similar role
- Advanced proficiency in Excel
- FICA knowledge
- Experience as a Legal Secretary or Paralegal within Property (Conveyancing or Commercial Law)
- Experience in a Legal Commercial Law firm or Property Development sector
- Lease documentation compiling experience
- Strong attention to accuracy
- FICA & Legal compliance experience
- Tenant onboarding experience
- Strong legal and administrative documentation skills.
- Excellent proficiency in Microsoft Word, Excel, and Outlook.
- Understanding of contract structure, legal terms, and filing standards.
- Exceptional attention to detail, organizational ability, and time management.
- Professional written and verbal communication skills.
DUTIES:
Lease Documentation:
- Draft, format, and proofread lease agreements, addenda, renewals, cessions, and terminations.
- Maintain standardized lease templates and ensure consistency of legal clauses.
- Manage the execution of leases (digital and hard copy), ensuring proper signatures and filing.
- File and archive executed leases (digital and physical copies) in accordance with company policy.
- Populate and maintain leasing spreadsheets with accurate tenant, lease, and renewal data.
FICA & Legal Compliance:
- Collect and verify all tenant FICA documentation prior to lease finalization.
- Track the expiry of supporting documents (e.g., IDs, proof of address, insurance certificates).
- Maintain an auditable and compliant filing structure for all leases and FICA records.
Tenant Onboarding, Correspondence & Communication:
- Prepare and issue welcome letters and lease packs to new tenants.
- Correspond directly with tenants on administrative lease matters, documentation requests, and status updates.
- Maintain an updated tenant contact list and communication log.
Reporting & Administration:
- Compile monthly lease and tenant reports covering new leases, expiries, renewals, and pending items.
- Maintain accurate records of lease commencements, expiries, deposits, and guarantees.
- Maintain a detailed tenant summary spreadsheet and generate ad hoc reports for management as required.
- Liaise with the Portfolio Manager for operational or financial clarifications only.
HOURS:
- Monday to Friday: 08:00 – 17:00
