LOCATION: Hilton, KwaZulu-Natal
ROLE OVERVIEW
An established manufacturing and distribution business based in Hilton is seeking a mature, highly competent Administrator to support front-office operations while managing procurement, stock control and compliance administration.
This is a key, hands-on role within a structured production and supply environment. The successful candidate will be responsible for ensuring the smooth day-to-day running of the office, maintaining accurate stock and purchasing records, and supporting audit and compliance processes.
The role requires a candidate with a solid administrative background within manufacturing, production, technical or distribution environments who is comfortable working across multiple functions and systems.
KEY RESPONSIBILITIES Front Office & General Administration
- Manage reception and front-of-house operations
- Handle incoming calls, emails and client/supplier queries
- Provide administrative support to management and operations
- Maintain filing systems, documentation and records
- Coordinate couriers, deliveries and general office logistics
- Assist with reporting and general office coordination
Procurement & Supplier Administration
- Raise and manage purchase orders
- Liaise with suppliers regarding pricing, orders and deliveries
- Track outstanding orders and follow up on lead times
- Maintain supplier records and documentation
- Ensure procurement aligns with operational requirements
- Assist with cost tracking and procurement reporting
Stock Control & Inventory
- Maintain accurate stock records and inventory systems
- Capture stock movements and reconcile discrepancies
- Assist with stock takes and reporting
- Ensure all stock documentation is accurate and audit ready
- Work closely with operations and stores teams
Audit & Compliance
- Maintain documentation for internal and external audits
- Ensure administrative and stock processes align with compliance requirements
- Support quality, safety and regulatory documentation
- Assist in preparation for audits and inspections
- Maintain accurate record-keeping across departments
Systems & Reporting
- Capture data across various internal systems
- Generate reports for management
- Maintain databases and ensure accuracy of information
- Assist with continuous improvement of administrative processes
REQUIREMENTS
- Minimum 5+ years experience in a senior administrative/operations support role
- Strong background in manufacturing, production, technical, agricultural, or distribution environments
- Proven experience in procurement and stock control administration
- Experience supporting audits and compliance processes
- Advanced proficiency in Microsoft Office (Excel essential)
- Experience working on multiple systems/software platforms
- Highly organised with strong attention to detail
- Mature, reliable and able to work independently
- Strong communication and interpersonal skills
- Own reliable transport and ability to travel to Hilton daily
