Job Description

REQUIREMENTS Matric essential; a relevant tertiary qualification will be an advantage 25 years experience in a similar front-office or administrative role Strong computer literacy, particularly in Microsoft Office Suite Excellent command of English verbal, written, and comprehension Professional, well-groomed presentation and demeanor Confident communicator with strong interpersonal skills Customer-focused with a welcoming and service-driven attitude High attention to detail and accuracy Proactive and resourceful when handling unexpected challenges Able to organise, multitask, and perform well under pressure Willing to adapt and accommodate flexibility when required RESPONSIBILITIES Greet, welcome, and assist visitors in a professional and friendly manner Manage the reception area and ensure a tidy, well-presented front office at all times Coordinate office operations and assist with general administrative support Handle incoming calls screen, direct, and relay accurate messages Manage daily mail, courier deliveries, and correspondence Maintain accurate records of staff movements and visitor logs Liaise with maintenance and service providers to ensure smooth facility operations Monitor and order office supplies, ensuring adequate stock levels Uphold security procedures and control access to the premises Assist with filing, photocopying, binding, and document preparation Update and maintain staff contact lists and office records Upload and maintain documents on SharePoint and internal systems Process and verify supplier invoices, ensuring accurate data capture in Sage Collaborate with the finance department to address discrepancies or queries Salary: R negotiable dependent on experience Join us on SOCIAL MEDIA or visit our WEBSITE for more information. Job Description

As the Receptionist of this large Corporate, you will be the face of the company, creating positive first impressions from the moment clients enter the building through to their arrival in the meeting room, setting the stage for successful business relationships. We are seeking someone who can connect authentically with people and consistently deliver value through their natural ability to understand and respond to other”s needs. Your commitment to exceptional service will help maintain the companies high standards of professionalism and hospitality. As a Front of House RECEPTIONIST, you will: Deliver a consistent, customer-centric and exceptional first-class guest service in a corporate and professional manner Coordinate Front of House, venue and meeting room management using internal software applications Monitor and maintain meeting room setups throughout the day, including: Ensuring virtual meeting links are displayed on tablets Managing potential meeting relocations Maintaining clear communication with all stakeholders On occasion, deliver catering items and beverage trays for external meetings Proactively respond to meeting room requests from the business support teams and look out for meetings which will require additional facilities such as flip charts, extra chairs, power supply cables and other items Have a close working relationship with the hospitality team, whom are rely heavily on. Support them by checking meeting rooms throughout the day, ensuring all rooms are cleared after the meetings, cables tucked away, floor boxes closed, chairs and tables are set up for the next meeting. Monitor the diary of events on the day and look out for possible meeting overruns, clashes and guest total increments – to initiate a change and inform the host, guest and hospitality team of the same Look out for and report any defects affecting client experience or business continuity to relevant departments (lighting, marks, public area appearance, faulty equipment) Have a meticulous eye for attention to detail when it comes to making sure that all client venue areas, spaces and meeting rooms. Front of House workstations and reception areas are neat, tidy and in order. This includes managing of the luggage / cloak-room. Demonstrate professional presentation, punctuality and adaptability to shift work, including occasional evening events Be responsible for sending out weekly reports to fellow colleagues and stakeholders, advising of upcoming events, catering requirements and weekend attendances,in addition to this, the maintenance of a daily handover document for the Front of House TEAM will be a small but important part of the role.
