Job Description

Job Purpose The Executive Secretary provides comprehensive administrative and secretarial support to the General Manager and Executive Team. The role ensures seamless coordination, confidentiality, and professional service delivery within the Executive Office, acting as the central point of contact for internal and external stakeholders. Key Responsibilities Provide high-level secretarial and administrative support to the General Manager and Executive Team. Manage the Executive Office calendar, schedule meetings, and coordinate travel arrangements. Draft; prepare, and review formal correspondence, reports, and presentations. Handle sensitive information and documentation with discretion and confidentiality. Support the preparation of reports, purchase requisitions, and departmental documentation (IFS / Peoplesoft). Screen and prioritize calls, emails, and requests, ensuring professional communication with stakeholders. Coordinate executive-level meetings, including agenda preparation, minute-taking, and follow-ups. Assist in monitoring deadlines, projects, and deliverables for the Executive Team. Oversee and guide administrative support staff within the business unit when required. Act as an ambassador for the Executive Office, maintaining the highest standards of professionalism and guest service. Qualifications & Experience Secretarial Diploma or equivalent qualification. Minimum 5 years experience in administrative or secretarial roles, preferably in a 5 hotel or luxury hospitality environment. Strong computer literacy (MS Office Suite, Peoplesoft, IFS purchase requisitions). Skills & Competencies High business ethics, confidentiality, and professionalism. Exceptional communication skills both written and verbal. Strong planning, organization, and multi-tasking skills. Ability to take initiative, solve problems, and make decisions independently. Excellent attention to detail with strong clerical and administrative accuracy. Customer service orientation and stakeholder relationship management. Professional image and demeanor befitting a luxury hospitality environment. Preference will be given to EE candidates with prior experience, and previous exposure within the hospitality sector would be a strong advantage.
