Job Description

Role: HR Administrator (HR Shared Services) – International Partners Department: HR Reports To: HR Group Director Type: Full-time/Permanent IOEC, Durban is seeking a proactive and service-oriented HR Administrator with to work closely with the HR Group Director to deliver HR Shared Services support across multiple international partner businesses, driving measurable impact for leaders and teams worldwide. The role is operationally and administratively intensive; and is responsible to draft written HR documents and instructions for International teams and to ensure customisation of the documentation to align with the legal requirements and specific goals and niche of each subsidiary. The role is responsible to execute tasks, coordinate, request and monitor deliverables, timelines, calendars, filing and queries between and with HR Group Director and international teams with precision and speed. Key Responsibilities: Requires active listening to accurately capture HR Group Director directives, to define and refine task requirements, proactively identify and document requirements, problem solve, formulate and implement solutions. Responsible to create, develop and/or edit, maintain HR correspondence and documentation types such as official letters (employment offers, promotion, and termination letters), general communication (emails, memos), and formal documents for onboarding, training, performance tracking and exit processes. Includes documentation related to department and organisational standards; SOP’s that outline step-by-step instructions, manuals, policies etc as well as employee development pathing, compensation. Ensure HR documentation is edited to comply to the current in-market employment and government laws and regulations, mitigating legal risks for the organisation. Analyse, collate and prepare information for HR reporting including presentations, budgets, surveys, action plans, and organigrams. Onboard out of country employees. Prepare candidates for travel. Provide information as requested. Coordinate documentation, medicals and candidate packs for VISA and permit purposes. Coordinate flights. Communicate start dates and facilitate the first week of training agendas/schedules. Coordinate checklists with internal teams: IT, HR and other stakeholders for desk/equipment and other resource requirements. Agendas and project management; experienced in taking feedback and ideas to create project frameworks, create tasks, milestones and own the tracking of project deliverables to execution with internal and international teams. Responsible to keep and maintain organised digital filing and record keeping. Minimum Requirements: Experienced in strong collaboration between HQ HR and international teams ensuring timely execution and quality of deliverables 3-5years proven track record as an HR-savvy coordinator or administrator or similar role supporting senior HR leaders; experience in HR Shared Services with the Indian Ocean Islands or Africa is a plus. Multinational exposure is preferred. Experienced in supporting multinational teams and systems; culturally adaptable. Proactive, clear, and confidential communicator who can manage expectations and stakeholders at all levels. Strong organisational skills with a bias for process improvement in a fast-paced, environment. Advanced computer and software literacy. High initiative and learning ability: Rapidly upskill oneself on the relevant in-market Labour legislation and government work schemes. Demonstrated ability to handle confidential information with integrity and discretion. Matric and HR Related Degree.
