About the Role
We are seeking an experienced After-service Administrator to join our team at Unique Personnel Ltd in Ekurhuleni. The ideal candidate will be responsible for maintaining high levels of client satisfaction, managing administrative functions, and supporting field technicians and sales teams.
Key Responsibilities
- Manage and control service processes and procedures
- Organize and manage the field service team
- Prepare estimates for field work for sales team to quote
- Prepare quotations, submit and follow up
- Capture all purchase orders in Syspro and open job files
- Expedite product from the factory to meet customer delivery date
- Ensure targets and customer deadlines are met
- Manage safety, site files, databooks, QCP’s
- Manage service reports from technicians and type reports where necessary and submit to customer
- Service documentation and installation actions by completion of forms, reports, invoicing, site files, records and quality plans
- Arrange for accommodation, site access, travel arrangements and advances for technicians
- Reconcile all expenses and cost to jobs
- Conduct courtesy calls to clients to check satisfaction of job completed
- Maintain site diaries and data basis with installed base
- Manage medicals, permits, drivers licences, risk assessments for service team and ensure fleet vehicles are serviced
- Examine complaints, identify solutions, record all NCR’s in compliance with ISO 9001
- Ensure the safety of each team member at all times
Requirements
- Minimum of 3-5 years’ experience in a secretarial/service support role
- Computer literate using office packages (MS Word, MS Excel, Power point, MS Project)
- Knowledge of SYSPRO
- Project planning experience will be an advantage
- Understanding and commitment to HR processes and SHEQ
