Job Description

New fine-dining Restaurant opening at a Wine Estate close to Franschhoek is looking for a Restaurant Administrator, responsible for managing all aspects of the reservation system while providing comprehensive administrative support including invoicing, contract management, supplier coordination and liaison with the accounting department and broader team. This role requires excellent organizational skills , attention to detail, financial accuracy and a professional approach to both guest services and back-office operations. Duties: Manage daily reservation system operations and bookings Handle all reservation inquiries via phone, email, and online platforms Process and confirm reservations accurately and efficiently Maintain guest database and reservation records Process invoicing for reservations, deposits, and special bookings Manage stationery orders and inventory for front-of-house operations Load and manage contracts in relevant systems Communicate with Accounting department regarding financial matters Flag important emails requiring Reservations & Guest Relations Manager follow-up Coordinate with suppliers and process related invoicing Liaise with broader Boschendal team regarding special gestures for guests Communicate special requests and dietary requirements to relevant departments Manage waitlists and cancellations Generate reservation reports and analytics Coordinate with FOH management regarding capacity and table allocation Requirements: Grade 12 A formal hospitality qualification At least 2-3 years of experience in reservations or hospitality administration Experience with invoicing and basic accounting procedures Proficiency in reservation management systems (e.g., OpenTable, SevenRooms, or similar) Strong computer skills including Microsoft Office Suite Experience with contract management and documentation Excellent written and verbal communication skills Experience with customer service in upscale establishments Strong organizational and time management abilities Ability to manage multiple administrative tasks simultaneously Experience in fine dining or high-end restaurant environments Knowledge of restaurant operations and table management Multilingual capabilities Problem-solving and conflict resolution skills Attention to detail and accuracy Professional telephone manners and etiquette Ability to remain calm under pressure during peak booking periods Responsible For: Complete management of reservation system and database All guest communications regarding bookings Processing invoices for reservations, deposits, and event bookings Management and ordering stationery and supplies Loading and maintaining contracts in system Communications with Accounting department Email management and flagging priority items for manager follow-up Coordination with suppliers and processing supplier invoices Liaison with the hotel team for special guest gestures and experiences Accuracy of reservation records and guest information Daily reservation reports and capacity management Communication of special requirements to kitchen and service teams Management of waitlists and cancellation policies Guest database maintenance and updates Documentation of VIP guests and preferences Coordination with FOH management on seating arrangements
