Job Description

About the role
The Admin & Customer Service Administrator supports the smooth daily operation of the business by managing customer
communication, order processing, data accuracy, and essential administrative tasks. The role ensures customers receive
timely, clear, and professional service while maintaining organized records, systems, and workflow transparency. This
position reports directly to the Store/Operations Manager and works closely with technicians, sales staff, and management to
keep service delivery efficient. In a larger organizational structure, the role sits within the Operations/Customer Experience Department and contributes to overall business success by improving customer retention, reducing operational errors, supporting decision-making through accurate reporting, and strengthening the brand’s service reputation.

Key Responsibilities: 

  • Oversee customer communication and service flow across in-store, phone, WhatsApp, and digital channels.
  • Maintain accurate customer, order, and operational records within ServPOS and other business systems.
  • Coordinate with store managers, technicians, cashiers, and courier/drop-off partners to ensure smooth order progression.
  • Support daily store operations by managing scheduling, attendance records, documentation, and internal communication.
  • Monitor service turnaround times, customer follow-ups, and collection reminders to protect customer experience.
  • Manage basic financial administration, including payments received, reconciliations, invoices, and reporting accuracy.
  • Track stock usage and product movement, liaising with procurement or suppliers when replenishment is needed.
  • Produce and share routine operational insights—daily sales, workload levels, complaints, trends—for decision-making.
  • Uphold compliance, confidentiality, SOP standards, and brand professionalism throughout all admin processes.
  • Contribute to customer retention and business efficiency by reducing errors, delays, and information gaps.

Minimum Requirements

  • South African Unemployed youth between the ages of 18 and 34.
  • Must not have participated on the YES programme before.
  • Matric.
  • Confident communicator (spoken and written).
  • Basic computer and typing skills.
  • Good numerical understanding and attention to detail.
  • Organised, reliable, willing to learn and follow systems

Job Description

About the role
The Admin will manage office communications, directing inquiries to the appropriate personnel. They will maintain organized records and filing systems, update databases and spreadsheets, and ensure documents are neat, accessible, and easily retrievable. All reports and documents will be submitted to the owner as required.

Responsibilities

  • Welcome Visitors or clients at reception.
  • Organize and Maintain Files.
  • Print and photo copy.
  • Prepare Pay slips and Clock cards for worker.
  • Send quotes and invoices.

Minimum Requirements

  • South African Unemployed youth between the ages of 18 and 34.
  • Must not have participated on the YES programme before.
  • Matric.
  • Computer skills, Excel, word, and power point knowledge.
  • Payroll and invoicing systems.
  • Open minded and energetic.

  • Provide general administrative assistance to the MARC Technical Support department.
  • Assist with wage processing, booking of labour, and addressing wage-related queries.
  • Support intervention jobs, including opening, booking of parts, and closing jobs.

Asset & Fleet Management:

  • Maintain and update asset registers (tools, vehicles, etc.) for the Support team.
  • Conduct monthly audits of tools used by the Technical Support Team.
  • Perform monthly fuel usage analysis for the Technical Support Fleet.

Workforce & Time Management:

  • Oversee manpower allocation and confirm all manpower assignments.
  • Conduct weekly analysis of overtime and time bookings.

Finance and Compliance:

  • Process and manage customer invoicing.
  • Follow up on intervention parts and transportation.
  • Ensure data integrity and compliance with financial, risk, and regulatory requirements.

Generic Key Perfomance Areas:

  • Data Integrity: Ensure all administrative records are accurate and up to date.
  • Finance, Risk & Compliance: Adhere to financial controls, risk management, and compliance regulations.
  • People Management: Assist with coordination and administrative support for staff-related activities.
  • Health & Safety: Support adherence to workplace safety standards and policies.
  • Kenkijin Values: Uphold the company’s core values in all administrative tasks.
  • Additional Responsibilities: Perform any other duties as assigned by management.

Required Skills:

  • Strong administrative and organizational skills.
  • Ability to manage multiple tasks efficiently.
