About the Role
We are seeking a highly skilled and experienced Office Manager/Executive Assistant to join our team in Johannesburg. As a key member of our management support staff, you will be responsible for ensuring the smooth day-to-day operation of our office, providing administrative support to our executives, and maintaining a high level of professionalism in all interactions with colleagues, clients, and external stakeholders.
Key Responsibilities
- Oversee daily office operations and address facility-related issues.
- Manage office supplies inventory and place orders as necessary.
- Coordinate with IT, cleaning, and security services to maintain office environment.
- Assist the Executive Assistant in managing the executive’s schedule and communications.
- Help organize and prepare materials for meetings and presentations.
- Assist in coordinating travel arrangements and processing expense reports.
- Send cards and gifts to customers.
- Complete KYC documents.
- Organize all catering and stationery for the training sessions.
- Add public holidays into the Teams calendar.
- Book lunches.
- Set up new employees with email, adding to email groups, access to the OneDrive, laptop, screens, keyboard, mouse, bags and all stationery.
- Order office supplies and food.
- Order office stationery.
- Arrange branded stationery and clothing.
- Ensure office is always locked and alarmed.
- Assist in any office maintenance.
- Schedule meetings for the team.
- Arrange and manage travel for employees (Flights, accommodation, rental cars, check-ins, documents for travelling, budgets etc.).
- Arrange and manage the cleaners.
- Sort company car issues/services/ licensing/ car wash etc.
- Arrange employee gifts for birthdays.
- Sort, clean and monitor storerooms.
- Sort any technical issues in the office.
- Liaise with Oryx for out of office messages, office equipment, technical issues, new emails & packages, setting up printers, any IT related issues.
- Send office notice emails.
- Arrange business cards.
- Arrange employee signatures on emails.
- Manage office supplies inventory.
Requirements
- 3+ years experience in an administrative or executive assistant role.
- Proven ability to manage multiple tasks and prioritize effectively.
- Excellent communication and organizational skills.
- Ability to work independently with minimal supervision.
- Proficiency in Microsoft Office and Google Suite applications.
- Experience with calendar management, travel arrangements, and expense reports.
- Basic knowledge of IT systems and software.
Qualifications
- Completed Grade 12 or equivalent.
- Any relevant certifications or training (e.g. bookkeeping, administration).
Salary & Benefits
Salary: R500,000 – R600,000 per annum, depending on experience.
