Job Description

The operations department is responsible for all physical, administrative and communicative functions in the day-to-day collection, processing, safe handling, movement, routing, storage and follow up of all parcels collected by the compaany in accordance with the service standards as laid out in proposals to clients and in accordance with the companys standard conditions of carriage. Key Responsibilities: Monitoring of the collection and delivery performance, isolating of problem areas and solution implementation, to achieve of 100% on time collections and deliveries Management of all operations staff, ensuring that staff are supervised, supported, trained and equipped to perform their tasks properly and professionally Ensuring that the disciplinary code and procedures of the company are consistently and fairly applied to all levels of staff in cases of misconduct. Consistently monitoring service levels and following up on each case of service failure originating from operations and/or a carrier and/or a 3rd party agents utilized by the company. Ensuring all operations staff clock in and out in strict accordance with their set shifts, and that slack timekeeping is monitored and corrective action taken where necessary. Monitoring and ensuring the safety and security of staff and freight in the warehouse Conducting weekly driver meetings and operations supervisor meetings, and forwarding minutes of the meetings to the Branch Manager by the day following the meeting, along with action taken from previous minutes Promoting and sustaining free, positive and effective communication channels between operations and all other divisions, departments, branches and agents of the company With regards to service standards expected by the companys clients you are responsible for ensuring: That at all times he/she conducts him/herself in a manner which befits the position, leading by example at all times as well as maintaining control of operational issues That all shipments are collected on time from local clients That outgoing freight makes the flight deadlines All shipments are delivered within the service standards All freight is checked both in and out of the branch against the manifests and that freight is accounted for All staff are treated fairly and with respect Appropriate planning and sufficient coverage at all times taking into account leave, sickness and resignations All clients are handled with due care All equipment are maintained in good working order at all times Due consideration is given to security at all times Night and weekend operations are properly managed and/or supervised, with due consideration given to service standards, professionalism, dress code, staffing, in-transit security and branch safety & security All missed collections are reacted to at once Manifesting is accurate and all freight accounted for No shipments/goods are lying on the floor unaccounted or unattended Accurate weights and dims are recorded Safety and well-being of staff under your supervision Staff are suitably attired and presented as per the dress code Basic discipline is maintained and informing the branch manager when it is not Excessive absenteeism is followed up on That vehicles are in good working order, are maintained regularly in accordance with maintenance specifications, are properly logod are completely undamaged and in good working order and are cleaned regularly Operational queries are solved by liaising with the relevant Managers Shifts are fairly worked out and published timeously The warehouse floor is clean and tidy at all times That accurate checks on overtime records are conducted Requirements: Must have a valid Code 8 Drivers license and a valid Public Drivers Permit (PDP) will be advantageous MS Office applications (Word, Excel, & Outlook) Degree or similar qualification and/or experience Strong communication skills Minimum 5 years experience in operations Minimum 3 years management experience
