Job Summary

The purpose of this position is to ensure the accurate and timely execution of general administrative duties for the branch. The role also includes performing the short-term rental controller function and supporting the rental manager in applying best management practices. This involves meeting key performance indicators and service delivery objectives, adhering to established procedures, and promoting a customer-focused service approach. Additionally, the role contributes to implementing and upholding initiatives aligned with the company’s strategic vision. Key Performance Areas: To perform this role effectively, the successful candidate must be able to carry out each key responsibility to a satisfactory standard. The key performance areas listed below are not exhaustive and may be adjusted as business needs evolve. In addition to the listed duties, the individual may be required to assist the supervisor or manager with other tasks as needed. Key Responsibilities: Help ensure the short-term rental (STR) division meets its targets and budget goals. Take full responsibility for delivering excellent customer service, maintaining good communication, building strong client relationships, and tailoring solutions to customer needs. Conduct telesales and maintain accurate records of quotes and prospects. Submit weekly and monthly reports on stock counts and fleet utilisation. Prepare and process refinance and defleet documentation. Manage the short-term rental fleet, including reservations, planning deliveries and collections, and handling all related transport invoicing. Ensure all delivery documentation is complete, accurate, and authorised (e.g., credit applications, signed contracts, terms and conditions, and customer orders). Process invoicing for daily, weekly, and monthly rentals, including excess hour charges. Liaise with the debtors’ team regarding accounts for both new and existing customers. Ensure that all machines at customer sites have valid load test certificates. Coordinate with the workshop to prepare machines for delivery (load tests, servicing, attachments, chargers, etc.). Handle customer complaints and queries, ensuring timely follow-up and clear communication of outcomes. Provide general support to the manager as required. Must have requirements: Matric (Grade 12) At least 3 years of relevant work experience Strong skills in MS Outlook, Word, and Excel Experience using the Kerridge system—must be able to enter data and pull report Knowledge Needed: Good understanding of customer service, including identifying customer needs, delivering quality service, and checking customer satisfaction Basic knowledge of quality control, cost management, and how to store and deliver equipment or parts efficiently Strong English skills for business communication, including grammar, spelling, and written. Job Summary

The purpose of this position is to ensure general administrative duties for the branch as a whole is carried out accurately and timeously, to perform the short term rental controller function and to assist the rental manager to ensure best management practices are followed in all areas of responsibilities, meeting key performance criteria and service delivery objectives, procedures and actions, promoting a customer oriented service and to implement and uphold actions in line with company strategic vision. Responsibilities: Ensuring that STR achieves the predetermined targets / budget Overall responsibility to ensure quality of customer interaction and service (drive customer service excellence, ensure good communication with customer, developing and fostering partnerships with and tailor-made solutions for clients; evaluation of own development needs and ensuring lack of knowledge / skills are addressed) Telesales and maintenance of records / quotes register/ prospects Weekly and monthly reporting of stock count and utilisation Prepare and complete refinance and defleet documentation Full responsibility to reserve, arrange delivery and collection of and manage overall control of short-term fleet units; responsible to schedule, plan and allocate trips daily; responsible for all invoicing pertaining to transport Full responsibility to ensure all documentation for the delivery of a forklift is accurate, complete and properly authorised (e.g., credit applications, signed contracts from clients, terms and conditions, customer orders etc.) Invoicing of daily, weekly and monthly rental including excess hours Liaise with debtors regarding accounts for new and existing customers Ensure machines at customer have valid load test certificates Responsible for communication with workshop preparation of machines prior to delivery (Load test, Service, attachments, chargers etc) Facilitating customer complaints and queries; ensure it is followed through and communicate process / result to customers; foster and maintain dedication to service excellence in every aspect of work carried out; ensure timeous feedback / communication to customers General assistance to manager as and when required Requirements: Grade 12 / Matric minimum of 3 years relevant experience Advanced / Expert Computer literacy in MS Outlook, Word, and Excel Understanding and working knowledge of Kerridge system – must be able to load information and draw reports Experience in fleet management Maintain and updating information on database Knowledge of principles and processes for providing customer and personal – This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Knowledge of quality control processes, costs, and other techniques for maximizing the effective storage and distribution of products (equipment and parts) Ability to influence, convince or impress others in a way that results in acceptance, agreement, or behaviour change; ability to negotiate on a win-win basis in a spirit of cooperation and partnership; ability to enthuse others and facilitate successful goal accomplishment by promoting a clear sense of purpose, inspiring a positive attitude to work, and arousing a strong desire to succeed among team members. Job Summary

Key Performance Areas Drive achievement of short-term rental (STR) targets and budgets. Ensure high-quality customer service and communication to build strong client relationships and provide tailored solutions. Conduct telesales, manage quote records, and maintain a prospects register. Submit weekly and monthly stock utilization and count reports. Prepare and finalize refinance and defleet documentation. Manage reservations, deliveries, and collections of STR fleet units. Coordinate transport scheduling, trip planning, and invoicing. Ensure all required delivery documentation is complete, accurate, and authorized (e.g., credit applications, signed contracts, customer orders). Invoice for rental periods (daily/weekly/monthly), including excess hours. Liaise with debtors for account-related matters and follow up on payments. Ensure forklifts and machinery have valid load test certificates. Coordinate with the workshop for machine readiness prior to delivery. Handle customer complaints and queries with professional resolution and timely follow-up. Provide general administrative and operational support to the manager. Minimum Qualifications & Experience Education : Grade 12 / Matric Experience : Minimum 3 years in a similar administrative or fleet coordination role. Computer Literacy : Advanced proficiency in MS Outlook, Word, and Excel. System Knowledge : Proficient in Kerridge system (data entry and reporting). Job Summary

We are looking for a Short Term Rental Controller in the Automotive industry based in Gqeberha. Summary Statement: The purpose of this position is to ensure general administrative duties for the branch as a whole is carried out accurately and timeously, to perform the short term rental controller function and to assist the rental manager to ensure best management practices are followed in all areas of responsibilities, meeting key performance criteria and service delivery objectives, procedures and actions, promoting a customer oriented service and to implement and uphold actions in line with company strategic vision. Key Performance Areas: Ensuring that STR achieves the predetermined targets / budget Overall responsibility to ensure quality of customer interaction and service (drive customer service excellence, ensure good communication with customer, developing and fostering partnerships with and tailor-made solutions for clients; evaluation of own development needs and ensuring lack of knowledge / skills are addressed) Telesales and maintenance of records / quotes register/ prospects Weekly and monthly reporting of stock count and utilisation Prepare and complete refinance and defleet documentation Full responsibility to reserve, arrange delivery and collection of and manage overall control of short-term fleet units; responsible to schedule, plan and allocate trips daily; responsible for all invoicing pertaining to transport Full responsibility to ensure all documentation for the delivery of a forklift is accurate, complete and properly authorised (e.g., credit applications, signed contracts from clients, terms and conditions, customer orders etc.) Invoicing of daily, weekly and monthly rental including excess hours Liaise with debtors regarding accounts for new and existing customers Ensure machines at customer have valid load test certificates Responsible for communication with workshop preparation of machines prior to delivery (Load test, Service, attachments, chargers etc) Facilitating customer complaints and queries; ensure it is followed through and communicate process / result to customers; foster and maintain dedication to service excellence in every aspect of work carried out; ensure timeous feedback / communication to customers General assistance to manager as and when required Required Minimum Knowledge, Skills Education / Training and Experience Requirement: The requirements listed below are representative of the knowledge, skills, education / training, and experience required for this position: Grade 12 / Matric minimum of 3 years relevant experience Advanced / Expert Computer literacy in MS Outlook, Word, and Excel Understanding and working knowledge of Kerridge system – must be able to load information and draw reports Experience in fleet management Maintain and updating information on database Should you not receive a response within 2 weeks please consider your application unsuccessful.
