Job Description
Logistical Coordination: Assist in all aspects of event planning, including venue liaison, supplier and vendor management (catering, AV, entertainment), and coordinating deliveries. Client Communication: Serve as a point of contact for clients and attendees, responding to enquiries and providing timely updates. Administrative Support: Prepare event documentation, including quotations, function sheets, schedules, and budgets. Process invoices and assist with tracking expenses. On-Site Support: Provide hands-on support during event setup, execution, and breakdown, proactively resolving any issues that arise. Supplier Management: Build and maintain positive relationships with our network of suppliers to ensure reliable and high-quality service. Post-Event Wrap-up: Assist with collecting feedback, conducting post-event debriefs, and finalising financial reconciliations. Skills & Qualifications Experience: A minimum of 1-2 years of hands-on experience in an event coordination or similar role. Experience in team building events is advantageous. Qualification: Tertiary qualification in relevant field preferred. Organisational Skills: Exceptional organisational and time-management skills, with a proven ability to manage multiple projects simultaneously under pressure. Attention to Detail: A meticulous eye for detail is essential. Communication: Strong verbal and written communication skills, with a professional and friendly demeanour. Experience in digital marketing and graphic design are advantageous. Problem-Solving: A resourceful and quick thinker who can handle unexpected challenges calmly and effectively. Tech Savvy: Proficient in the Microsoft Office Suite (Word, Excel, PowerPoint). Personal Attributes: Must be a proactive team player with a positive, can-do attitude. Flexibility: Must have a valid driver’s license, reliable transport, and be willing to work flexible hours, including evenings and weekends, as dictated by the event schedule.
