(eng= Executive Assistant to the Director Our client is looking for a proactive, highly organized, and strategic Executive Assistant to the Director who will act as a critical support function in optimizing the Directors time, focus, and operational effectiveness. This role is designed for someone who can anticipate needs, take ownership, and operate within a fast-paced and complex environment. Location: Kilner Park, Pretoria Salary: R12,500 – R25,000 Working Hours: Monday Friday 08:00 17:00 Available Positions: 1 Start Date: As soon as possible Key Responsibilities: · Calendar & Time Architecture: Conduct regular time audits with the Director to identify inefficiencies and protect high-value strategic time. · Communication & Correspondence: Manage, filter, and respond to communications on behalf of the Director. · Tender & Contract Support: Assist with tender processes, documentation, and contract administration. · Meeting Management: Coordinate meetings, prepare agendas, take minutes, and follow up on action items. · Project & Operational Coordination: Support coordination across multiple projects and stakeholders. · Travel & Logistics: Arrange travel, accommodation, and logistics for the Director. · Compliance & Regulatory Support: Assist with ensuring compliance with relevant regulations and processes. · Operational Support: Proactively take ownership of recurring administrative, coordination, and communication tasks. · Strategic Support: Act as a buffer between the Director and operational demands by prioritizing, filtering, and resolving matters where possible. · Protect the Directors peak-hours. Job Requirements: · Diploma or Degree in Office Administration, Business Management, or a related field. · 35 years experience in an executive support, PA, or operational role (preferably within construction, engineering, or infrastructure). · Experience managing complex environments with multiple stakeholders. · Strong knowledge of MS Office programs. · Familiarity with South African procurement processes and tender administration is advantageous. · Strong interpersonal and communication skills. · Ability to work independently and within a team. · Strong organizational and time management skills. Ligging: Kilner Park, Pretoria Salaris: R12,500 – R25,000 Werksure: Maandae Vrydae 08:00 17:00 Beskikbare Posisies: 1 Begindatum: So gou as moontlik Hoof Verantwoordelikhede: · Kalender- en Tydargitektuur: Doen gereelde tyd-oudits saam met die Direkteur om ondoeltreffendhede te identifiseer en strategiese tyd te beskerm. · Kommunikasie en Korrespondensie: Bestuur, filter en reageer op kommunikasie namens die Direkteur. · Tender- en Kontrakondersteuning: Help met tenderprosesse, dokumentasie en kontrakadministrasie. · Vergaderingsbestuur: Koördineer vergaderings, stel agendas op, neem notules en volg op aksie-items. · Projek- en Operasionele Koördinering: Ondersteun koördinering oor verskeie projekte en belanghebbendes. · Reisoordrag en Logistiek: Reël reis, verblyf en logistiek vir die Direkteur. · Nakoming- en Reguleringsondersteuning: Help om nakoming van relevante regulasies en prosesse te verseker. · Operasionele Ondersteuning: Neem proaktief eienaarskap van herhalende administratiewe, koördinerings- en kommunikasietake. · Strategiese Ondersteuning: Tree op as buffer tussen die Direkteur en operasionele eise deur te prioritiseer, te filter en waar moontlik self op te los. · Berskem die Direkteur se piek-ure. Pos Vereistes: · Diploma of Graad in Kantooradministrasie, Besigheidsbestuur of n verwante veld. · 35 jaar ondervinding in n uitvoerende ondersteunings-, PA- of operasionele rol (verkieslik binne konstruksie, ingenieurswese of infrastruktuur). · Ondervinding in die bestuur van komplekse omgewings met veelvuldige belanghebbendes. · Goeie kennis van MS Office programme. · Vertroudheid met Suid-Afrikaanse verkrygingsprosesse en tenderadministrasie is voordelig. · Sterk interpersoonlike en kommunikasievaardighede. · Vermoë om onafhanklik en in n span te werk. · Sterk organisatoriese en tydsbestuursvaardighede.
