(eng= Administrative and Financial Support Officer Our client is looking for a detail-oriented and proactive Administrative and Financial Support Officer to provide comprehensive administrative, bookkeeping, procurement, and liaison support to clients, contractors, and internal teams. This role plays a vital part in ensuring accurate financial reporting, compliance, and smooth operational workflows within the organization. Location: East London, Eastern Cape Salary: R18 000.00 R30 000.00 Working Hours: Monday Friday |08:00 17:00 Available Positions: 1 Start Date: As soon as possible Key Responsibilities: Administrative Support: · Ensure that VAT reports for clients are compiled accurately. · Ensure that claims certificates are issued against payments and reconciled and updated in milestone reports. · Ensure that records are properly filed and archived. · Ensure that the necessary payment documentation is prepared and accurate. · Ensure that mandated or authorized signatures are obtained to authorize payments. · Submit payment advices to the Finance Department timeously. · Ensure that PODs and invoices are obtained from suppliers and contractors. · Ensure that material reconciliation reports are updated. · Ensure that all BuiltSmart reports are prepared and updated monthly. · Ensure responsibility for contractors bank accounts. · Follow up on payment certificates and progress claims with the relevant parties. · Ensure that closure forms are authorized and that funders and relevant stakeholders are fully settled. · Provide project financial information to support managers for the compilation of funder and internal reports. · Supplying project financial information to Support Managers in order for them to compile Funders’ and company reports Liaison: · Escalate queries to the construction support manager when required. · Attend to queries from suppliers and clients. · Setting up monthly progress meetings with clients and ensure reports are compiled. Bookkeeping: · Ensure bank statements are reconciled. · Ensure suppliers accounts are reconciled. · Ensure that funders, internal, and banking statements are reconciled. · Ensure contractors signatures are obtained on monthly statements. · Generate and process monthly income statements. Financial Administration: · Administrate support fees for services provided to contractors. · Ensure that funders loan accounts are paid once contractors receive proceeds from payment claims or certificates. · Ensure that debtor accounts remain within the 30-day period and escalate issues where required. Ad Hoc Duties: · Take minutes during client and SCM meetings. · Assist with pre-screen packs. · Assist with sales administration and obtaining application support documents. · Perform additional duties that reasonably fall within the job description or operational requirements of the company. Job Requirements: · Degree in Accounting · Proven experience in administrative support, bookkeeping, and client liaison. · Proficiency in BuiltSmart or similar accounting or project management software. · Strong organizational and time management skills. · Excellent written and verbal communication skills. · Ability to manage multiple tasks and meet deadlines. · Strong attention to detail and accuracy.
