About the Role

We are seeking an organised and proactive Freight Scheduler to join our team at Van der Vyver Transport. As a key member of our operations team, you will be responsible for planning and coordinating the movement of refrigerated goods across South Africa. You will work closely with clients, drivers, and internal teams to ensure seamless logistics operations. Key Responsibilities

  • Contact all clients on a daily basis to determine vehicle and load requirements.
  • Accurately capture all load details on the system, including dates, times, locations and order numbers.
  • Plan and schedule available vehicles to meet client needs while optimising fleet utilisation.
  • Record all loads on our internal software program.
  • Issue clear load instructions to Freight Controllers for the coordination of loading, transport and offloading.
  • Monitor loading and transport progress via Freight Controllers and liaise with clients on status updates.
  • Identify and manage non-conformances, escalating issues where required to the Operations Manager.
  • Arrange subcontracted vehicles when company fleet availability is insufficient.
  • Ensure subcontractors receive load confirmations with full terms and conditions prior to loading.
  • Oversee subcontracted loads as if they were company-owned vehicles.
  • Undertake advance planning of vehicles returning to the depot.
  • Coordinate fleet maintenance planning in collaboration with the Technical Department.
  • Communicate cross-hooks and mechanical requirements to Fleet Control and Yard Control.
  • Compile and oversee customer performance, turnover and efficiency reports.
  • Ensure fleet operations comply with agreed client service levels and company policies.

Requirements

Previous experience in freight planning, logistics coordination or fleet operations

Good knowledge of the South African road network and geographic landscape

Comfortable working with digital planning tools, operational systems and electronic reporting platforms used in logistics environments

Proven administrative capability within an operational or planning environment

Willingness and availability to work after hours when required
