About the Role
We are seeking a highly organized and detail-oriented Receptionist/Administration Clerk to join our team in Stellenbosch. The successful candidate will provide office support services to ensure efficiency and effectiveness within the office, and will be responsible for a range of administrative tasks.
Key Responsibilities
- Receive, direct and relay telephone messages and fax messages in the absence of the Client Services Administrator.
- Maintain general filing system for customer sales and file certain correspondence.
- Assist in the planning and preparation of meetings.
- Maintain an adequate inventory of office supplies.
- Respond to public inquiries and refer them to appropriate staff.
- Provide word-processing and secretarial support.
- Perform clerical duties to ensure customer satisfaction, including:
- Maintaining a current and accurate filing system for customer data base and orders.
- Processing and invoicing customer orders.
- Monitoring the use of certain supplies and equipment.
- Coordinating the repair and maintenance of office equipment.
- Perform receptionist and admin functions, including:
- Answering incoming calls and handling callers’ inquiries whenever possible professionally.
- Re-directing calls as appropriate and taking adequate messages when required.
- Greeting, assisting and/or directing clients and visitors.
- Supporting management, representatives, trainers and other staff.
- Performing accounting and general administration as instructed by the GM.
- Providing administrative services for management.
Requirements
- High School Diploma
Qualifications
- Computer Training in MS Word, MS Excel, and MS Outlook
- 1 year of experience (paid or volunteer) performing duties related to office or clerical support
