Job Summary

Key Performance Areas Drive achievement of short-term rental (STR) targets and budgets. Ensure high-quality customer service and communication to build strong client relationships and provide tailored solutions. Conduct telesales, manage quote records, and maintain a prospects register. Submit weekly and monthly stock utilization and count reports. Prepare and finalize refinance and defleet documentation. Manage reservations, deliveries, and collections of STR fleet units. Coordinate transport scheduling, trip planning, and invoicing. Ensure all required delivery documentation is complete, accurate, and authorized (e.g., credit applications, signed contracts, customer orders). Invoice for rental periods (daily/weekly/monthly), including excess hours. Liaise with debtors for account-related matters and follow up on payments. Ensure forklifts and machinery have valid load test certificates. Coordinate with the workshop for machine readiness prior to delivery. Handle customer complaints and queries with professional resolution and timely follow-up. Provide general administrative and operational support to the manager. Minimum Qualifications & Experience Education : Grade 12 / Matric Experience : Minimum 3 years in a similar administrative or fleet coordination role. Computer Literacy : Advanced proficiency in MS Outlook, Word, and Excel. System Knowledge : Proficient in Kerridge system (data entry and reporting). Required Knowledge & Skills Knowledge Areas : Customer service principles and standards Quality control and cost efficiency in product distribution Business-level English communication (written and verbal) Skills : Active listening and clear communication Critical thinking and problem-solving Decision-making and time management Reading comprehension and report generation Negotiation and interpersonal communication Mathematical and analytical reasoning Resource management (materials and scheduling) Abilities : Influence and motivate team members toward shared goals Handle pressure and adapt to changing environments Plan, organize, and prioritize work effectively Show initiative, accountability, and commitment to professional development Maintain emotional stability and professionalism under pressure General Competencies High attention to detail and analytical ability Strong work ethic and personal integrity Excellent written and verbal English communication Ability to interact with internal and external stakeholders at all levels Friendly, professional, and service-oriented demeanor Willingness to work overtime and be available for standby as required Licences and Registrations Valid EB / Code 8 Drivers License Preferred Qualifications & Experience Experience using the Kerridge system Background in fleet management Experience in maintaining and updating customer databases
