Job Summary

Requirements: Matric, Certificate (NQF Level) in Financial Accounting, Bookkeeping qualification would be advantageous 3 years experience in accounting or in an accounts payable department Knowledge of accounting principles and practises and internal controls Excellent communication and strong interpersonal skills Ability to interact with and build professional positive relationships with stakeholders Understanding of bank processes and able to articulate clear accounts payable processes Good organisation and time management skills Ability to meet deadlines Demonstrates strong follow up and consistency Strong negotiation skills Ability to enter data correctly and make decisions based on supporting documents Ability to work independently and in a team in a fast paced and high-volume environment with emphasis on accuracy and timeliness required Analytical and excellent problem-solving abilities Ability to operate under pressure Assume a sense of ownership and accountability Strong ethics, integrity, reliability, credibility, and a high degree of confidentiality Advanced computer proficiency using online financial management and accounting systems and standard office software programs MS Office, especially MS Excel Familiarity with SAGE or proven experience, with any other ERP system would be advantageous Duties: Processing Payments Co-ordinate compiling of documentation e.g. Invoice, order and delivery note, by liaising with relevant parties to ensure that all documents are in compliance with company expenditure regulations Validate authorisation levels according to company policies Check cost centre coding and capture information on accounting system to ensure correct payments to vendors Liaise with relevant managers to ensure accurate expenditure allocations according to budgets Liaise with relevant vendors for statements to ensure prompt payment of accounts Assist with capturing of invoices into accounting system when necessary or on request by superiors Print vendors pre-check register to ensure accurate reconciliations to statements Verifies that all invoices meet the value added tax (VAT) requirements Creditors Reconciliations Reconciles supplier invoices to agreed and approved rates Reconciles sundry creditors accounts to supplier statements Follows up on reconciling items and resolves queries on time Requests and/or follows up on statements from creditors Prepares and submits month end creditors reconciliations for approval Compiles and reviews the monthly creditor ageing report to identify overdue or upcoming payments. Investigates discrepancies by reconciling vendor statements and follows up to resolve outstanding issues. Administration and Reporting Maintains an accurate and effective filing system of standard monthly and sundry creditors Maintains and updates electronic folders for suppliers, attaches and files all relevant documents and information for easy retrieval Captures and submits supplier credit applications for finalisation and approval Submits remittances / proof of payments to vendors and suppliers Identifies and reports on opportunities for potential discounts / cost savings with sundry creditors Collaborates with colleagues to inform and advise them about special arrangements with vendors and suppliers It is 4Racings intention to promote equity (race, gender, and disability) through the filling of this post with a candidate whose transfer / promotion / appointment will promote representation in line with the numeric targets as contained in our Employment Equity plan.
