Pretoria: Conveyancing Secretary (Bonds)

Job Description

Purpose of the Role: Provide administrative and secretarial support in the conveyancing process, specifically focusing on bond registrations, cancellations, and related functions. This role involves managing documentation, liaising with clients and financial institutions, and ensuring compliance with all relevant legal requirements. Key Responsibilities: Drafting and preparing bond registration documents, including but not limited to title deeds, guarantees, and bond cancellation documents. Liaising with financial institutions, clients, and other stakeholders to ensure the smooth processing of bond registrations and cancellations. Preparing and submitting bond applications to the relevant financial institutions. Coordinating the execution and lodgement of bond documents. Ensuring all bond-related documentation complies with legal and regulatory requirements. Updating clients on the progress of their bond registrations and cancellations. Handling and managing all administrative functions related to bond registrations, cancellations, and transfers. Attending to office correspondence and communications related to bond processes. Maintaining a detailed filing system for bond documentation and relevant correspondence. Assisting with general conveyancing tasks as required. Skills & Qualifications: Matric certificate; a tertiary qualification in conveyancing or related fields is an advantage. Proven experience as a Conveyancing Secretary, with a focus on bond registrations and cancellations. Familiarity with relevant conveyancing software (e.g., LexisConvey, GhostConvey). Strong knowledge of bond processes, legal terminology, and the Deeds Office procedures. Excellent organizational, time-management, and communication skills. Ability to work under pressure and meet deadlines. Proficient in Microsoft Office Suite (Word, Excel, Outlook). Strong attention to detail and accuracy. Personal Attributes: Professional and well-presented. Strong communication and interpersonal skills. Ability to work independently as well as part of a team. Proactive, with a solutions-driven mindset. Salary: The final remuneration package will be based on market standards, considering the candidate’s qualifications, skills, and experience.
