EXPERIENCE AND SKILL REQUIREMENTS: – Proven experience as a receptionist (medical practice experience advantageous) – Ability to work under pressure in a fast-paced environment – Excellent communication and interpersonal skills – Strong organisational and time-management skills – High level of consistency, reliability, and punctuality (minimal absenteeism) – Professional, calm, and patient-focused approach – Basic financial administration and record-keeping skills DUTIES AND RESPONSIBILITIES: The successful candidate would be required, but not limited to; Patient Management – Receive and acknowledge patients arriving every 30 minutes (booked vs walk-ins) – Ensure patient folders are prepared and ready before appointments – Always be kind, professional, and helpful to patients – Make patients feel comfortable and supported – Guide patients on how to complete folders correctly – Manage patient expectations and communication during delays – Escalate difficult or rude patient situations to the doctor without retaliation Call Management – Professionally manage incoming calls every 1530 minutes while assisting patients – Allocate time efficiently between calls and front-desk duties – Maintain a friendly, courteous, and professional telephone manner Bookings and Scheduling – Book patients in 30-minute intervals – Book a minimum of 20 patients per day – Only book denture patients once lab work has arrived – Prioritise high-value procedures (SPF, fillings, impressions, extractions) before denture repairs, check-ups, deliveries, and collections – Book the correct appointment type with the correct doctor – Understand procedure durations and scheduling requirements – Prepare and manage recurring patient bookings – Plan provisional bookings for cancellations (not reliant on doctor availability) – Ensure deliveries are fully paid before booking Dentures and Lab Work – Manage denture and laboratory work coming in and going out – Confirm dentures are ready before patient bookings – Ensure dentures have been paid for prior to delivery Cash, EFT and Medical Aid Administration – Ensure correct amounts are charged and collected – Accurately complete invoices and record invoice numbers in appointment books – Record EFTs and payments against the correct patient names – Liaise with staff regarding medical aid approvals and available funds – Confirm patients have funds for upcoming appointments – Follow up on past payments and outstanding balances Appointment Book Management – Accurately record patient details, amounts, and doctor assigned – Manage 23 appointment books simultaneously – Confirm all bookings – Only note cancellations or reschedules where applicable – Keep appointment books fully updated before end of day General and Administrative Duties – Assist in maintaining strong patientclinic relationships – Receive and manage patient folders from doctors – Upload photos of appointment books and folders to Dropbox – Ensure folders match appointment book records – Minimise distractions and remain focused on reception duties – Assist with restructuring schedules during delays
