Job Description

In order to be considered the following is required:

  • Matric Certificate (Grade 12) required
  • Diploma in Finance / Accounting or equivalent qualification preferred
  • 13 years experience in procurement, billing or administrative role
  • Basic understanding of accounting principles
  • Experience with ERP / Accounting systems (e.g. SAP, Sage, Salesforce)
  • Proficiency in Microsoft Excel and Office Suite

Key Competencies:

  • Strong attention to detail and accuracy
  • Good numerical and analytical skills
  • Proficiency in Microsoft Excel and Office Software
  • Effective communication and negotiation skills
  • Ability to multitask and meet deadlines
  • High level of integrity and confidentiality

Responsibilities:

General Administration:

  • File and organize procurement and billing documentation
  • Update Salesforce opportunities, tracking outstanding billing and support queries
  • Assist in maintaining accurate stock records and inventory control in the storeroom
  • Support the Sales and Finance team with ad hoc tasks

Procurement:

  • Assist in sourcing suppliers, obtaining quotations, and comparing prices
  • Prep client quotations and send to Account Executives / stakeholders for approval
  • Track orders and ensure timely delivery of goods / services
  • Liaise with vendors regarding orders, pricing, and discrepancies
  • Assist in creating and processing purchase orders / requests (POs / PRs)

Billing & Finance:

  • Prepare and issue billing packs to the Finance team
  • Verify invoices against purchase orders and delivery notes
  • Capture and process supplier quotes and invoices in Salesforce
  • Reconcile statements and resolve billing discrepancies
  • Maintain accurate financial and procurement records

Data & Reporting:

  • Update and maintain Salesforce Pipeline opportunities
  • Manage daily Salesforce cases by resolving or actioning them
  • Monitor and manage team mailbox, responding to queries and assigning emails appropriately
