Job Summary

Purpose of the Role: Provide or lead a full range of secretarial/administrative support to the Chief Executive Officer (CEO) of the organization, exercising confidentiality, tact and diplomacy. Role: Executive Assistant Location: Ottery – Western Cape Qualification: Matric Tertiary Education (including Diplomas, Certificates and Degrees) Diploma in Legal Secretarial / Paralegal Experience Minimum 5 years related experience Competencies Knowledge Skills Solid knowledge of Microsoft Office Suite Knowledge of office practice Imports processing Strong Administration Skills Well-developed leadership and junior management skills Excellent organisational skills Good verbal and written communication skills (English & Afrikaans) Ability to act decisively and urgently High level of emotional intelligence and interpersonal skills Ability to establish and develop well aligned, supportive teams Suitably – developed computer literacy and skills Appropriate Business acumen and entrepreneurial aptitude Strong problem-solving skill Creativity Exceptional attention to detail Administration Support Provide the full range of administrative support including but not limited to: Management of purchasing authorization process from submission of PORs to handover of signed invoices for payment; Management of local and international travel arrangements for the CEO as well as arrangements for Trade and other International Fairs for all attendees; Arrangement for and management of Forex linked to international travel; Ad hoc personal bookings and searches for the CEO; and, Act as a support / participate in the development and implementation of administrative standards, policies and practices for the organisation. Secretarial Support Communicate directives and information from the CEO to Executives, managers, and others in the organisation and follows up on the status of assignments; Receive, screen and direct incoming calls, visitors, mail and email; Maintain files, records, calendars and diaries; Control filing linked to and access to contracts / SLAs for customers, property, property plans and so; Co-ordinates meetings, inclusive of Metcalf Board preparations, submission of reports to shareholders and arranging of catering for board meetings. Prepare draft presentations for meetings (POWWOW) for CEO. Minute taking where required, as well as requesting agendas and minutes for upcoming meetings; and, – Manage CEO Expense Claims Manage Insurance Manage vehicle insurance portfolio from addition / removal of vehicles onto the policy to management of claims; Manage all insurance; and, Arrange for marine / transit cover where necessary. Imports and EForex Management Management payment for import process, from verifying accuracy of import documentation to purchasing of Forex; In conjunction with Finance determine cashflow for large purchases, obtain authorization and book FEC in line with forecasted dates; and, Balance transactions with bank statements bi-weekly. Event Planning Arrange and manage all aspects linked to large scale internal and external events, including but not limited to company Indabas. Self-Development and Growth: Realistic assessment of own strengths and development areas and undertake actions to address weaknesses. Job Summary

Purpose of the Role: A Personal Assistant will be part of the CEO’s office which will include the SHERQ. The person is essentially the secretarial support to the CEO, Board and committees, and EXCO members. This includes maintaining the company diary, and the executive’s daily activities, ensuring seamless operations and focus for the executive team, and maintaining confidentiality. Role: Executive Assistant – to the – CEO Location: Ottery – Cape Town Start Date: immediate Qualification: Grade 12 Minimum tertiary qualification, with a postgraduate degree a preference. Clear criminal report Minimum 5 years of related experience, preferably within a medium-sized manufacturing entity. Minimum 5 years experience as an assistant at Director level. The person needs to have professional authority, be able to be firm, set standards, have clear boundaries, and attract trust based on convictions and actions. The person would need to have been exposed to various upskilling courses related to good admin, analytics, time management, and even legal and financial secretary knowledge. Decision Making Maintain standards, practices, policies, and procedures as defined. Able to make good businessaligned judgment decisions at an operational level. Accountability Responsible for all activities linked to position as defined. Ensures that a structure for escalation of responsibility is effective. Responsible for the company credit card. Communication: Maintains the benchmark for transparent, responsive and open communications within the business and at all levels. Ensures an e-mail response within 24 hrs. Guidance telephonically to assist the teams when required within reason. Good communication with management and subordinates. Main Outputs and Responsibilities : Administrative Support Scheduling: Manage the CEOs, executives, and board calendar, coordinate meetings, and ensure timely notifications. Correspondence: Handle email, mail, and phone communications on behalf of the CEO and executive team. Documentation: Prepare, edit, and distribute documents, reports, and presentations. In this capacity, it needs to be professional with expertise in ISO document control principles. Data Management: Maintain accurate records, databases, and spreadsheets- aligned to SHERQ structures, board structures, and compliance principles. The skill here is a benchmark setting for the company and it needs to be firmly owned. Operational Support: Travel Arrangements: Book flights, hotels, and rental cars, as well as prepare travel itineraries. – this will be a company-wide responsibility, cost-controlled, and approached with insight including negotiated arrangements with service providers. Expense Management : Process expense reports, reimbursements, and credit card statements for the executives, ad hoc exco projects, and Comco team. Office Management: Oversee office operations, including supplies, maintenance, and renovations. – will take overall responsibility for the admin block, any secretarial functions linked to this location, exco, board, and SHERQ. Event Planning: Coordinate events, meetings, and conferences, including logistics and catering- she will lead the ” spirit” committee for an inclusive and engaged head-office team. Strategic Support Research: Conduct research and provide data-driven insights to support CEO decision-making. – this requires experience in analytics, using Chat GPT, understanding good information, and a keen curiosity. Additionally, it requires common sense and a pragmatic mindset. Project Management : Assist with special projects, such as strategic planning, change management, or process improvement. Stakeholder Engagement: Facilitate communication between the CEO and stakeholders, including board members, investors, and customers, inclusive of minute-taking in S&E committee meetings, exco, and ad hoc company strategic meetings. Reputation Management: Monitor and maintain the CEO’s, board member, and executive online presence and reputation. This includes reviewing the Bowler Fraud line event focus, SHERQ critical triggers, and Website(s) comments. Confidentiality and Discretion Maintain Confidentiality : Handle sensitive and confidential information with discretion. – this is a critical attribute. Protect the CEO’s Time: Screen calls, emails, and visitors to ensure the CEO’s time is used efficiently – experience, trust, insight, and leadership are required. Other Responsibilities: Special Tasks: Perform other tasks as assigned by the CEO, such as preparing presentations or analysing data. Team Collaboration : Work closely with other executives, departments, and teams to ensure alignment and effective communication. Continuous Learning: Stay up to date with industry trends, best practices, and new technologies to support the CEO’s needs. Self-Development and Growth: Realistic assessment of own strengths and development areas and undertake actions to address weaknesses. Job Summary

Overview: Our client in the Human Resources sector is looking to employ an Executive Assistant, to provide admin support to their Chairperson. Minimum Requirements: Preferred but not essential: Degree or Diploma in Behavioral Sciences or a Human Resources or Legal field Extensive work experience in a similar or corporate fast passed environment Exposure to AI within a working environment Advanced command of MS Office: Outlook, PowerPoint, Word, Excel Good command of the English language, both written and spoken Valid and current driver’s license Knowledge of accounting principles, to provide ad hoc support to Finance Manager Key Performance Areas: Keeping track of multiple changes to a very busy diary Compiling and editing reports, slides, training manuals ,and multiple Exco documentation Co-ordinating travel arrangements local and international Copying, scanning, editing of documents, recordkeeping and general admin Drafting covering mails General ad hoc duties Preferred Attributes: Confident, eloquent and professional individual with a high level of emotional intelligence Flexible and able to multi-task and work at an exceptionally fast pace Generalist, with a good understanding of how things work in a corporate environment including the finance functions Absolute discretion as the person will be working with highly confidential information Attention to detail, good memory and ability to think on his/her feet Organised, task-driven and ability to work without direct supervision Team player with a dynamic personality Eager to learn, with a keen interest in using Artificial Intelligence (current proficiency will be an added bonus)
