About the Role

We are seeking a highly organised Executive Assistant to support reservations, administration and the day-to-day coordination of our boutique luxury hotel in Cape Town. As a key member of our small team, you will be responsible for managing the operational aspects of the property, ensuring that everything runs smoothly behind the scenes.

Key Responsibilities

  • Manage reservation enquiries via phone and email
  • Prepare quotations, confirmations and maintain accurate booking records
  • Monitor availability, rates and occupancy
  • Maintain organised administrative systems and reporting
  • Prepare daily, weekly and monthly operational reports
  • Reconcile bookings and payments
  • Assist with financial administration including invoicing and reconciliations
  • Follow up with departments to ensure administrative tasks and reporting are completed
  • Provide occasional operational support and guest interaction when required

Requirements

  • Strong administrative and organisational skills
  • Experience in hotel reservations, front office or hospitality administration
  • Excellent attention to detail and numerical accuracy
  • Confidence to follow up and keep departments accountable
  • Proficiency in Microsoft Office, especially Excel
  • Professional, warm and adaptable approach
  • Experience in account management, bookkeeping or financial administration would be beneficial
