Job Summary

Duties:

Managing the reservations process from start to finish in line with the companys booking terms and conditions and standard operating procedures Ensuring that lodge accommodations and experiences are sold in a way that maximises revenue whilst exceeding guest expectations Building relationships with tour operators and travel advisors by providing accurate, detailed information that serves their guests in a timely manner Optimising conversion rates of enquiries into bookings Being a professional, friendly, courteous and efficient first point of contact for guests who have booked at or are enquiring about booking Developing bespoke itineraries for VIPs and themed trips Overseeing dissemination of correct rates and booking terms and conditions on online platforms Regular reporting on sales, income due, new business, enquiries and booking releases General office and administrative duties related to the smooth running of the reservations office

Requirements:

Grade 12 & a formal Hotel / Hospitality or Revenue Management Degree or Diploma At least 5 years experience as a Reservations Manager within a high-end safari or luxury hospitality property. Knowledge and hands-on experience with Hospitality software Excellent written and verbal English Strong organizational and time management skills Ability to work independently and as part of a team Willingness to work in a remote, lodge-based setting Additional customer service experience advantageous Microsoft Excel proficiency advantageous

Job Summary

The reservations manager is responsible for overseeing and managing the reservations systems and processes for the company, ensuring that guests can easily make reservations, maintains accurate records, and coordinating with other department to ensure the guest experience runs smoothly. Minimum Experience and Qualification Required: · Tertiary level qualification – preferably in Hospitality Management or similar · Minimum 7 years of experience of which at least 2 to 3 years in similar role, in a five-star property advantage. · Strong Operational/Technical Knowledge. Key Performance Objectives: Oversee the daily operations of the reservations department, ensuring efficient and accurate booking processes. Maintain an efficient administration system within the department Assist with accurately maintaining guest database to ensure effective mailings & correct guest history. Take accountability for the performance of the reservation’s functions for all three properties. Manage a team of reservation agents, providing guidance, training, and support. Ensure an efficient and accurate reservation system. Manage the reservation systems and ensure proper input, updates, and accurate reporting. Handle guest queries and resolve booking issues. Develop and implement strategies to optimize occupancy rates and revenue. Assist the Group Revenue Manager with generation of departmental reports as well as day-to-day activities Monitor reservation trends and generate reports for management. Work closely with internal and external departments to ensure a seamless guest experience. Communicate promotions, special offer, packages and client booking incentives externally and internally to all relevant team members. Job Summary

The Hotel Reservations Manager is responsible for overseeing the reservations department, ensuring efficient and effective booking operations, and maximizing room occupancy and revenue. Responsibilities:

• Manage and oversee the hotel’s reservations team to ensure smooth and efficient booking processes. • Develop and implement strategies to maximize room occupancy and revenue. • Monitor and manage room availability and pricing strategies in coordination with the revenue management team. • Handle guest inquiries and special requests professionally and efficiently. • Maintain relationships with travel agencies, corporate clients, and online booking platforms. • Ensure all reservations are accurately recorded in the hotel’s system. • Analyse reservation trends and generate reports for management. • Train and mentor reservations staff to ensure high levels of customer service and efficiency. • Address and resolve guest complaints and booking discrepancies. • Stay updated with industry trends and competitor pricing strategies. Education & Experience: Bachelor’s degree in Hospitality Management, Business Administration, or a related field preferred. Minimum of 3-5 years of experience in hotel reservations or front office operations, with at least 2 years in a managerial role. Experience with hotel property management systems (PMS) and booking software (Opera, Fidelio, etc.). Must have own reliable transport Preferably reside in the surrounding areas of Paarl Skills & Competencies: • Strong leadership and team management skills. • Excellent communication and interpersonal abilities. • Strong organizational and problem-solving skills. • Ability to analyse data and implement revenue-maximizing strategies. • Proficiency in Microsoft Office Suite and reservation systems. • Customer-focused mindset with a commitment to providing excellent service. • Ability to work in a fast-paced environment and handle multiple tasks effectively. • Office-based within the hotel, with interactions with guests and front office operations. • May require working on weekends, holidays, or extended hours depending on hotel occupancy and demand. This role is crucial in ensuring the hotel`s booking operations are optimized, guest satisfaction is maintained, and revenue targets are met effectively.
