Job Description
Kerston foods is ideally looking for the candidates to Meets warehouse operational standards by contributing warehouse information to strategic plans and reviews, implementing production schedules and identifying warehouse system improvements. Optimizes employee workflow, enforces warehouse performance standards and targets, and uses these for guiding and mentoring staff. Directs, guides and coordinates the receiving and returns processes within clear standards and targets, achieving efficiency through the consistent implementation of operational guidelines and SOPs. Constantly works to improve receiving, returns and warehouse standards while optimizing customer satisfaction and stock accuracy.
Duties & Responsibilities
Supervisory
- Communicating job expectations, planning, monitoring, appraising job contributions and enforcing company policies and guidelines.
- Motivating, guiding and disciplining staff as required.
- Optimizing employee workflow and evaluating job results.
- Coordinating and supporting performance targets.
- Supervising personnel effectively and preparing work schedules to ensure warehouse activities are completed timeously.
- Measuring and reporting on the effectiveness of receiving and returns activities and employee performance.
- Developing a mature and motivated staff complement through continuous training, engagement and performance support.
- Ensuring employees are fully accountable for their roles in final work output.
- Addressing efficiency and quality issues to maintain high productivity and prevent performance lapses.
- Monitoring employee performance and ensuring safe working practices.
- Managing and maintaining warehouse working equipment, including (but not limited to) Hyster’s, trolley jacks, tablets and trolleys.
Receiving and returns efficiency and stock control
- Collaborate with procurement to list and schedule expected deliveries daily.
- Ensure all preparations for incoming deliveries are complete, enabling accurate inspection, labelling and counts.
- Monitor and coordinate receiving activities to ensure workload is manageable and completed timeously.
- Liaise with other warehouse departments to ensure swift transition of stock into the warehouse and maintain full receiving capacity.
- Conduct verification, quality checks and accurate documentation for all received stock.
- Ensure all products are labelled according to Kerston Foods standards and inspected for damage and correctness.
- Ensure stock is moved into the warehouse seamlessly and stored appropriately to prevent damages.
Returns Department Responsibilities
- Full responsibility for all physical stock returns, including returned customer stock, uplifted stock, internal returns and queries stock.
- Process all returns paperwork, including RFCs, credit requests, supplier returns documents and any corrective documentation required for audit compliance.
- Categorize returns into saleable, damaged, expired, obsolete, uplift, or dump categories.
- Manage all obsolete, expired, uplift, damaged and queries stock, ensuring correct traceability, segregation and documentation.
- Conduct weekly stock counts of:
- Obsolete stock
- Uplift stock
- Returns main area
- Queries stock
- Damaged/expired stock
- Report discrepancies, investigate causes and submit weekly results to management.
- Manage dumping and disposal of obsolete, expired or damaged stock in line with food safety compliance and audit expectations.
- Coordinate and execute supplier returns, ensuring accuracy, full documentation, collection arrangements and credit recovery.
- Ensure all movement of returns stock (dumped, transferred, sold, credited, written off) is captured daily and reconciled weekly.
- Provide quarterly EXCO reporting detailing:
- Stock returned
- Dumped stock volumes and reasons
- Supplier returns and credit status
- Trends, risks and improvement actions
Stock data administration control
- Maintain accurate records and support inventory control.
- Store items in an orderly and accessible manner.
- Raise discrepancies with procurement and record product movement.
- Ensure all products have correct codes and maintain traceability for every item received.
- Ensure invoices, purchase orders and all receiving/returns documentation are filed accurately for auditing purposes.
- Record and report receiving and returns errors (incorrect quantities, incorrect product, documentation issues).
- Ensure all paperwork reaches procurement timeously.
- Investigate and correct discrepancies in quantities and locations of all inventory data.
- Maintain returns stock records, weekly counts and movement logs.
Food Safety
- Ensure warehouse equipment is properly maintained.
- Ensure all stock (including returns, obsolete, uplift and queries stock) is handled according to food safety procedures.
- Enforce compliance with food safety policies and procedures.
- Assist with internal and external audits and applicable training.
- Maintain adherence to food safety requirements in all receiving and returns operations.
- Ensure personal appearance and uniform comply with food safety requirements.
- Maintain clean and safe working environments according to company procedures.
- Report hazards, pests or non-conformance immediately.
Health and Safety
- Ensure effective and safe use of warehouse equipment.
- Adhere to all Health & Safety policies and stacking techniques to prevent product damage.
- Maintain a clean, organised and safe warehouse environment.
- Collaborate with the manager on housekeeping and safety procedures.
- Guide and correct employee behaviour to achieve safe working standards.
- Ensure systematic safety checks are carried out and enforced
