Job Summary
Job Title: Personal Assistant & Office Administrator
Position Overview
We are seeking a highly organized, proactive, and resourceful Personal Assistant & Office Administrator to support the executive leadership and manage the day-to-day administrative operations of the office. This dual-role requires someone who can handle sensitive information, multitask efficiently, and ensure the smooth running of both executive support functions and general office administration.
Key Responsibilities:
Executive Support:
- Manage the diary, appointments, and travel arrangements of the executive(s)
- Prepare meeting agendas, minutes, and follow-ups
- Assist with personal and business correspondence, presentations, and reports
- Maintain strict confidentiality and handle sensitive information with discretion
- Act as a point of contact between the executive and internal/external stakeholders
Office Administration:
- Oversee general office operations and ensure a well-organized, efficient work
environment - Handle procurement and stock of office supplies, stationery, and refreshments
- Coordinate meetings, staff events, and internal communications
- Ensure all office equipment, systems, and infrastructure are functioning properly
- Liaise with service providers, vendors, and building management
- Maintain filing systems (physical and digital) and ensure data is well-organized and
secure
Qualifications & Experience
- Proven experience as a Personal Assistant, Executive Assistant, or Office Administrator
- Strong written and verbal communication skills
- Excellent organizational and multitasking abilities
- Tech-savvy: proficient in MS Office Suite, Google Workspace, and basic office tools
- Discretion and professionalism when handling sensitive matters
- High attention to detail, reliability, and ability to work independently
