- Own vehicle and valid driver’s licence (essential)
- Must live within 20 km of Waverley, Johannesburg
- 3+ years experience as a Personal Assistant, Office Administrator or Executive Assistant
- Advanced Microsoft Outlook experience
- Google Workspace proficiency
- Excel skills at intermediate to advanced level
- Experience with SAGE Accounting
- Experience with project management tools such as Monday.com, Asana or Trello
- Excellent verbal and written communication skills
- Exceptional attention to detail
- Highly organised, proactive, and professional
- Ability to manage multiple priorities in a fast-moving small team
Key Responsibilities:
- Manage the Director’s diary, meetings, scheduling, and follow-ups
- Record, prepare, and distribute meeting minutes
- Maintain daily, weekly, and monthly operational rhythms
- Check and reconcile various checklists and spreadsheets
- Assist the team with workflow management, task coordination, and deadlines
- Perform HR administration, including leave, personnel files, onboarding, and training recordkeeping
- Process supplier invoices and assist with client invoicing
- Oversee office logistics, couriers, Uber requests, and inventory control
- Liaise between the Director and the accountant on financial processes
- Provide high-level administrative, operational, and executive support
