Work Arrangement: Hybrid (4 days in-office, 1 day remote)

Are you an experienced Administrative Assistant with a deep understanding of the investment landscape and a passion for high-end client service?
A boutique firm in the Financial Services sector is seeking a professional to provide critical support to their Financial Advisors and Para-planners. This role is designed for a detail-oriented individual who excels in a fast-paced, high-stress environment and possesses the technical knowledge to manage complex investment administration.
Key Responsibilities
Investment Administration & Support

Collate all necessary documentation relating to investment instructions, payments, and client accounting.

Capture and prepare administrative data on internal systems with absolute accuracy.

Ensure all investment and payment instructions are compliant with FAIS and FICA regulations.

Manage the collation and distribution of monthly and quarterly client reporting and statements.
Client Liaison & Relationship Management

Act as a key point of contact for high-net-worth clients, resolving queries directly and professionally.

Handle follow-up correspondence with clients, beneficiaries, and third-party providers.

Provide client-centric support to build and maintain strong service relationships.
Office & Records Management
-
Maintain electronic and hard copy filing systems for advisory records and client correspondence.

Manage the Client Management System and general secretarial duties, including calendar coordination.

Ensure strict confidentiality regarding sensitive financial information.
Minimum Requirements
Qualifications & Experience:
-
Education: Matric and an Administrative Diploma.
-
Experience: 35 years of experience as a Brokers Assistant or Secretary. (NB!!)

Technical Knowledge: Proven experience dealing specifically with investment administration instructions and follow-ups.

Systems: Key knowledge of Glacier, Ninety One, and Allan Gray systems is essential.
Key Skills:

Software: Intermediate proficiency in MS Office (Excel, Word, PowerPoint, SharePoint).

Typing: Minimum speed of 50+ wpm.

Investment Knowledge: Solid understanding of products such as UTs, TFSA, offshore wrappers, and ETFs.

Logistics: Must have own transport. (Must)
