About the Role

A boutique firm in the Financial Services sector is seeking a professional Administrative Assistant to provide critical support to their Financial Advisors and Para-planners. The ideal candidate will have a deep understanding of the investment landscape, a passion for high-end client service, and excellent technical knowledge to manage complex investment administration.

Key Responsibilities

  • Collate all necessary documentation relating to investment instructions, payments, and client accounting.
  • Capture and prepare administrative data on internal systems with absolute accuracy.
  • Ensure all investment and payment instructions are compliant with FAIS and FICA regulations.
  • Manage the collation and distribution of monthly and quarterly client reporting and statements.
  • Act as a key point of contact for high-net-worth clients, resolving queries directly and professionally.
  • Handle follow-up correspondence with clients, beneficiaries, and third-party providers.
  • Provide client-centric support to build and maintain strong service relationships.
  • Maintain electronic and hard copy filing systems for advisory records and client correspondence.
  • Manage the Client Management System and general secretarial duties, including calendar coordination.
  • Ensure strict confidentiality regarding sensitive financial information.

Requirements

  • Education: Matric and an Administrative Diploma.
  • Experience: 35 years of experience as a Brokers Assistant or Secretary.
  • Technical Knowledge: Proven experience dealing specifically with investment administration instructions and follow-ups.
  • Systems: Key knowledge of Glacier, Ninety One, and Allan Gray systems is essential.

Qualifications

Matric and an Administrative Diploma.

Salary & Benefits

CTC Negotiable dependent on experience, 13th Cheque.
