Job Summary

Compilation of Board, Subcommittee, Management and NDoHS Packs and documentation preparation – Keep schedules and reminders for all Board/Board Subcommittee/Management/Departmental meetings – Co-ordinate inputs into CEOs reports for all meeting packs / documents in line with Cosec and NDoHS requirements (formats and standards) – Ensure that the CEO is reminded of all the Meeting dates and schedules including reminders for preparation of documentation timeously. – Compile and file all minutes from Board/Board Subcommittee/Management/Departmental Meetings and ensure the CEO attends to matters arising timeously. – Ensure that CEO receives the packs and provides input to the agendas two weeks prior to each meeting Management of internal and external customer relations, including receiving and management of calls, bookings, and management of events – Interact appropriately and enhance good relationships with internal and external stakeholders. – Manage incoming and outgoing correspondence (phones, fax, emails etc.) and timeously highlight urgent issues to the CEO. – Incoming calls are screened accordingly – Outgoing calls are managed properly – Call forward utilised appropriately – Messages are recorded accurately and the CEO timeously briefed 2 Key Performance Areas Key Activities – Relevant emails and faxes are responded to, addressed and filed – Manage bookings and scheduling of meetings with external and internal customers. – Always provide relevant and accurate information relating to the CEOs whereabouts, when required. (This should be done in line with delegated authority and agreement with the CEO in terms of what to disclose or not) – In collaboration with the Stakeholder Relations manager, manage the CEOs speaker circuit engagements. – Keep an archive of the CEOs professional photos and ensure the bio is up to date and share it with stakeholders as and when required. Management and production of information (minutes, presentations, and electronic information. – Transcribing, formatting, inputting, editing, retrieving, and copying text, data and graphics for memos, reports, etc. – Attending and responding to emails – Printing and filing relevant emails – Accessing intranet and Internet for information – Formatting a range of documentation – Keeping information confidential and secure. – Utilising and maintaining filing and retrieval systems. – Completing electronic data back-ups – Ensure that own work reflects high standards and service levels. – Ensure CEO receives copies of the magazine and newspaper subscriptions on a daily and weekly basis accordingly. Preparation and management of CEOs events and meetings – Prioritise, schedule, and confirm conferences, functions, board meetings and meetings – Book facilitators, venues, equipment, catering, and refreshments – Collaborate with NDoHS, where necessary, to arrange joint travel and accommodation bookings – Compile and distribute meeting materials and documentation Management of Boardroom bookings and scheduling – Keep accurate schedule and roster of all meetings. – Ensure that the boardroom is properly managed Maintenance of office operations, office supplies and inventory – Manage office day to day operations professionally and efficiently – Ensure efficient utilisation of Office supplies and resources – Prepare Purchase Order documentation and process accordingly – Ensure that all deliveries checked against orders and signed 3 Key Performance Areas Key Activities – Manage stock levels of all consumables and office supplies – Order consumables and office supplies timeously – Develop and keep an up-to-date Asset and Inventory Register for CEO Division Management of CEOs diary including travel bookings and schedules – Schedule CEOs meetings expeditiously once its established that she is the right person to host the meetings – Have a daily morning meeting with the CEO to confirm diary for the day and attend to any amendments – For meetings to be held outside the office make the necessary reservations at required venues – Make travel and event bookings timeously – Ensure that all bookings are quoted for and approved by relevant manager and/or Chairman. – Knowledge of National Treasury cost containment practice notes essential – Organise travel itinerary, visas, accommodation, transport and flights – Prepare relevant travel packs at least 3 days before travel or event – Keep the CEO or travelling colleague(s) aware of all the booking / travel arrangements before finalisation. Performance of other additional duties, when required – Relieving front office receptionist in line with the Annual schedule – Assisting with documentation and other secretariat duties for other projects outside daily duties where required 4 NHFC COMPETENCIES Job Specific Competencies: – Attention to detail – Ability to multi-task – Ability to work effectively in a fast-paced team environment. – Ability to take initiative and not ask for the CEOs confirmation at every turn. – Ability to work under pressure and meet deadlines – Ability to be self-managing and as well as part of the team. – Understand the business of the NHFC so as to contextualise requests and screen them accordingly. – Ability to work effectively with internal and external clients – Ability and willingness to work beyond Job Description Attributes: – Customer orientated – Sound judgement – Cost conscious – Reliable – Meticulous and methodical – Accuracy – Attention to detail – Organised – Emotional Intelligence
