About the Role
A well-established financial services business operating in the property bridging finance and Road Accident Fund (RAF) funding space is seeking a highly organised and detail-oriented Inbound Leads Administrator & Debtors Clerk. This dual operational role requires managing inbound leads via HubSpot, supporting debtor management through structured, professional follow-up with attorney firms, and maintaining strong professional relationships with legal stakeholders.
Key Responsibilities
- Receive and manage inbound enquiries from: Website forms, Email, WhatsApp, Channel partners, Internal referrals
- Capture, update, and manage all leads within HubSpot
- Initial Lead Qualification (Property & RAF)
- Conduct first-level qualification of inbound enquiries relating to: Property bridging finance and RAF advances
- Internal Coordination & Allocation
- Allocate qualified leads via HubSpot to the appropriate channels
- Route leads correctly based on: Product type, Attorney relationship ownership, Risk profile
- Escalate urgent, complex, or high-risk enquiries to senior operational support
- Debtors Management & Aging Follow-Ups (Attorney-Focused)
- Monitor and follow up on aging matters
- Proactively engage with attorney firms to: Request settlement updates, Confirm expected payment timelines, Obtain explanations for delays
- Maintain accurate debtor notes and follow-up records within HubSpot and/or internal systems
- Escalate: Long-outstanding matters, Repeated non-responsiveness, Risk concerns
- Support reconciliation and reporting by ensuring debtor information is current and reliable
- Client & Channel Communication
- Professionally engage with: Attorneys, Estate agents, Channel partners, Claimants (where applicable)
- Communicate clearly and respectfully across South Africa’s national languages
- Request outstanding information and documentation efficiently
- Represent the business professionally at all times
Requirements
Proven experience working in HubSpot or a similar CRM
Strong administrative, organisational, and follow-up skills
High attention to detail and data accuracy
Ability to manage high volumes of inbound enquiries and follow-ups
Clear verbal and written communication skills
Multilingual capability across South Africa’s national languages
Comfortable engaging attorney firms in a professional, firm, and respectful manner
